Job Overview

The Executive Assistant will deliver exceptional administrative support to the Chief of Staff and the executive leadership team within a vibrant retail organization. This position entails managing schedules, organizing meetings, facilitating communications, and executing various administrative functions to guarantee the smooth operation of the executive team. The perfect candidate will be highly organized, proactive, and adept at multitasking in a dynamic, in-person environment.

Key Responsibilities:

1. Administrative Support:

  • Efficiently manage and maintain executive calendars, schedule appointments and meetings, and coordinate travel arrangements.
  • Draft and refine correspondence, reports, presentations, and other essential documents as required.
  • Oversee incoming and outgoing communications, including emails and phone calls, ensuring prompt responses and follow-ups.

2. Meeting Coordination:

  • Organize and facilitate meetings, including preparing and distributing necessary materials.
  • Arrange logistics for meetings, such as booking conference rooms, coordinating catering, and setting up required technology.

3. Project Management:

  • Assist with special projects and initiatives as directed, ensuring timely completion.
  • Monitor project progress, deadlines, and deliverables, providing regular updates to stakeholders.
  • Act as a liaison between the executive team and other departments, ensuring effective communication and workflow.

4. Confidentiality and Discretion:

  • Manage sensitive and confidential information with the highest level of discretion and professionalism.
  • Ensure adherence to company policies and procedures regarding data privacy and security.

5. Additional Duties:

Perform other responsibilities as assigned.

Qualifications:

Education: A Bachelor's degree in business administration or a related field is preferred.

Experience:

  • A minimum of 3-5 years of experience as an executive assistant or in a comparable administrative role.
  • Experience within the retail sector is highly advantageous.

Skills:

  • Outstanding organizational and time management abilities.
  • Consistently produce work with meticulous attention to detail.
  • Deliver high-quality professional customer service to both internal and external clients.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with scheduling and project management tools.
  • Ability to work independently as well as collaboratively within a team.
  • Exhibit a high level of professionalism and discretion.
  • Adaptable and capable of addressing new tasks with minimal notice or guidance.
  • Self-motivated, taking initiative on new assignments with little oversight.
