Job Summary: Fourth Floor is seeking a highly skilled and experienced Executive Assistant to provide administrative support to our senior leadership team.

About the Role: As an Executive Assistant, you will be responsible for maintaining and managing calendars, coordinating travel arrangements, and preparing correspondence. You will also be responsible for coordinating meetings, events, and team activities, as well as managing travel and expense reports.

Key Responsibilities:

  • Calendar Management: Maintain and manage calendars in Outlook, including heavy coordination of executive travel arrangements and itineraries.
  • Correspondence: Prepare correspondence internally and externally as directed by senior leadership, with high-level contacts inside and outside the company.
  • Meeting Coordination: Coordinate onsite and offsite vendor meetings, office work orders, and facilities management.
  • Project Support: Organize, prioritize, and summarize the content of incoming materials, specialized projects, special requests, and meetings.
  • Reporting: Prepare special or one-time reports, replies to inquiries, and creates, maintains, and updates spreadsheets to support reporting and analysis for senior leader approval.
  • Team Support: Coordinate team events and cultural venues with Office Coordinator as directed by senior leadership.
  • Travel and Expense Management: Manage monthly travel and expense reports for senior leadership.

Requirements:

  • Calm Under Pressure: Calm under pressure and able to think quickly on your feet.
  • Technical Skills: Strong working knowledge of Word, PowerPoint, Excel, and Outlook.
  • Communication Skills: Excellent written and verbal communication skills.
  • Flexibility: Flexible schedule and willing to work on-call.
  • Self-Motivation: Self-motivated, organized, and proactive.
  • Attention to Detail: Strong attention to detail.
  • Experience: 5-7 years of Executive Assistant Support Experience.
  • Team Player: Able to work in a team environment.
  • Authorization: Must be legally authorized to work in the United States.
