World Relief is seeking a highly skilled and compassionate Front Office Administrative Associate to join our team. As the first point of contact for immigrants in our community, this role is critical in ensuring a warm and welcoming experience for all individuals who interact with our organization.
Key Responsibilities- Provide exceptional customer service to clients, responding to their inquiries and directing them to the appropriate staff member or department.
- Facilitate the intake process for new and existing clients, ensuring accurate and efficient processing of their information.
- Collaborate with the Immigrant Legal Services Administrative Assistant to provide comprehensive support to clients.
- Manage the office-wide shared calendar, ensuring seamless coordination of appointments and events.
- Train and supervise volunteers or interns who assist with front office duties, promoting a culture of excellence and teamwork.
- Provide Spanish/English language translation as needed, facilitating effective communication with clients.
- Coordinate outgoing office mail correspondence, maintaining a high level of professionalism and attention to detail.
- Follow established protocols for opening and closing the office, ensuring a secure and organized work environment.
- Participate in Operations Team departmental meetings, contributing to the development of effective strategies and solutions.
- Document client interactions, maintaining accurate and up-to-date case notes.
- Engage in World Relief Chicagoland staff trainings and activities, fostering a culture of growth and development.
- Perform other duties as assigned, demonstrating flexibility and a commitment to the organization's mission.
- Excellent communication skills, with the ability to patiently inform and direct clients.
- Cross-cultural experience, including cross-cultural communication skills, to effectively interact with clients from diverse backgrounds.
- Ability to handle a high volume of calls and manage frequent interruptions, maintaining a calm and professional demeanor.
- Excellent problem-solving skills and flexibility to work in a fast-paced, frequently changing environment.
- Strong attention to detail and organizational skills, ensuring accurate and efficient processing of client information.

- Bilingual English/Spanish fluency, with the ability to translate documents from Spanish to English and English to Spanish.
- Prior lived experience as an immigrant or working experience with immigrants, with a deep understanding of the challenges and opportunities facing immigrant communities.
- Proficiency with Microsoft, Outlook, Word, and Excel, with the ability to learn and adapt to new technologies.
