Office Administrative Assistant

We are seeking an experienced Office Administrative Specialist to join our dynamic team at LSGF Management - Corp. As an Office Administrative Specialist, you will be responsible for providing administrative support to our management team and ensuring the smooth operation of our office.
Key Responsibilities- Provide exceptional customer service to guests and callers, directing them to the appropriate personnel and scheduling appointments.
- Schedule and coordinate meeting rooms, setting up technology, snacks, and other necessary items.
- Distribute mail and packages, and manage the UPS, FedEx, and USPS systems.
- Process Accounts Payable mail, complete online forms for licensing and census information, and scan and electronically file Accounting Department documents.
- Maintain common areas and meeting rooms, order and stock office and kitchen supplies, and update databases and spreadsheets for management, HR, and marketing.
- Coordinate logistics for meetings, including room setup and catering, and operate and maintain office equipment.
- Work with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
- Maintain accurate and up-to-date human resource files, records, and documentation.
- Assist with payroll functions, including entering PTO, updating spreadsheets with payroll and global ID numbers, and entering benefits enrollments and terminations.
- Create monthly Cobra spreadsheets for processing and provide administrative support for the accounting and marketing departments.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
- Ability to work independently with little oversight from manager.
- Associates degree in related field preferred.
- 3-5 years related office experience required.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 15 pounds at times.
