Job Overview

POSITION SUMMARY

The Human Resources Specialist plays a crucial role in attracting and selecting qualified individuals for various roles within the organization, including executive positions. This position involves pre-screening and interviewing potential candidates, addressing their inquiries regarding the role and the organization, and assessing their qualifications. The specialist is responsible for conducting reference checks or evaluating those performed by team members. Recommendations are made regarding candidate hiring decisions, with direct hiring responsibilities for specific entry-level roles. Additionally, the specialist will plan, coordinate, and implement Employee Relations initiatives to cultivate a workplace that aligns with our Mission, Vision, and Values.

KEY RESPONSIBILITIES

Note: The following responsibilities are not exhaustive.

  • Oversee all Employee Programs, including but not limited to recognition initiatives such as Birthdays, Anniversaries, Employee of the Month, Manager of the Quarter, and Service Awards.
  • Manage Employment Verification requests.
  • Facilitate the onboarding process for new hires, promotions, and terminations, ensuring accurate updates in the payroll system.
  • Generate and organize reports as needed.
  • Create nametags as required.
  • Administer the Trip Reduction Program (TRP).
  • Process employee discount requests for accommodations.
  • Maintain office supplies, including HR documentation.
  • Monitor employee bulletin boards and other company communications.
  • Foster a positive work environment by engaging professionally with guests, vendors, colleagues, and management.
  • Address employee inquiries in a courteous and professional manner.
  • Conduct pre-employment checks for new hires.
  • Build and maintain relationships with hiring managers to support recruitment needs across all organizational levels.
  • Post engaging job advertisements and utilize various sourcing methods (e.g., LinkedIn, Indeed) to attract top talent in a competitive landscape.
  • Present qualified candidates to hiring managers and coordinate the complete recruitment process.
  • Collaborate with management to define personnel needs, job specifications, and required qualifications.
  • Develop and sustain a network of contacts to identify and source qualified candidates.
  • Initiate outreach to potentially qualified candidates for specific job openings.
  • Review applications and conduct interviews to gather work history, education, skills, and salary expectations while providing information about the organization and position.
  • Screen and refer candidates for further interviews with other team members.
  • Manage job advertising across various platforms.
  • Coordinate the internal job posting program and draft job postings.
  • Participate in local job fairs and represent the organization.
  • Establish and maintain connections with educational institutions and community organizations to attract applicants.
  • Provide information about company offerings and job opportunities to prospective candidates.
  • Conduct reference checks and make hiring recommendations for candidates, including direct hiring for certain entry-level roles.
  • Communicate the organization's service standards and guest expectations effectively.
  • Maintain and update training records using the HR management system.
  • Facilitate New Hire Orientation and coordinate guest speakers.
  • Organize and conduct training sessions for employees.
  • Maintain records and prepare statistical reports.
  • Plan and execute employee events in collaboration with the Human Resources team and assist with special projects.
  • Distribute weekly job opportunities internally and externally.
  • Track and communicate 90-Day Reviews, Annual Reviews, and Certifications.
  • Perform additional tasks as assigned by the Assistant Director of Human Resources and Director of Human Resources.

QUALIFICATIONS

The ideal candidate must possess the following knowledge, skills, and abilities and demonstrate the capability to perform the essential functions of the role, with or without reasonable accommodation:

  • Fluency in both English and Spanish (verbal and written) is preferred.

EDUCATION AND EXPERIENCE

Education: Bachelor's Degree preferred.

Experience: Minimum of one year in an administrative role, with experience in human resources within a luxury hotel or resort setting preferred.

Required Knowledge: Bilingual in English and Spanish (verbal and written) preferred. Proficient in computer applications, including PowerPoint, Word, and Excel.
