Job Title: Facilities and Office Manager

At fairlife, LLC, we are seeking a highly skilled and experienced Facilities and Office Manager to join our team. As a key member of our operations team, you will be responsible for fostering a professional, safe, and fun work environment that is employee-centric and delightful.

Key Responsibilities:

  • Resolve escalated problems and issues related to office/facilities that are beyond the scope of the Office Assistant.
  • Lead local safety committee, hold safety drills, and develop safety guidelines with the safety team.
  • Oversee all office security, including visitor sign-ins, badges, and other initiatives.
  • Maintain policy compliance relating to office, including dogs, conference rooms, gym, and other facilities.
  • Manage relationships with third-party vendors and building management/landlord, including utilities, HVAC, internet, and data communications.
  • Responsible for Office & Facilities budget, applying initiative, proactive planning, and attention to detail to optimize budgets.
  • Manage collective office seating and assist Office Assistant with new employee onboarding, including preparing workstations and scheduling tech setup.
  • Partner with Executive Assistants to plan office and/or Company events, including setup and clean-up support.
  • Own relationships with local community representatives, including Alderman, and other local West Loop organizations.
  • Serve as point-person for local community events, partnering with Corporate Social Responsibility Manager as needed.
  • Manage the Office Assistant and serve as backup as needed.
  • Own and manage team storage spaces in the office and off-site.
  • Develop and enforce office organization guidelines.
  • Oversee transition to a new office location in the West Loop.
  • Responsible for the overall safety and security of employees and building.

Requirements:

  • 5+ years of office or facilities management experience required.
  • Bachelor's Degree or equivalent preferred.
  • Proven ability to lead, collaborate, analyze, and make important judgment calls.
  • Strong attention to detail and ability to manage multiple responsibilities and priorities while adhering to deadlines.
  • Strong written and verbal communication skills.
  • Strong understanding of AV and IT.
  • Previous experience managing direct reports.
  • Ability to handle ambiguity and work in a fast-paced, entrepreneurial environment.

Working Conditions and Physical Requirements:

  • 8 hours sitting/standing/walking.
  • Ability to lift up to 50 lbs.
