Position Overview
Under general supervision, the Budget Analyst is responsible for developing and maintaining a variety of databases; generating regular and on-demand financial reports and analyses; overseeing financial transactions; preparing budget plans; and assisting in the enhancement and upkeep of reporting systems. This role includes the preparation of invoices and the management of accounts receivable records for external contractors, as well as the generation of monthly faculty productivity reports. The Budget Analyst will also create, prepare, and manage contracts, bids, and proposals that adhere to specifications and comply with all relevant policies and regulations. This position supports or engages in contract negotiations with suppliers, partners, or clients, ensuring that all one-time startup and pass-through fees are accurately recorded. The analyst reviews contract terms to identify potential risks or compliance issues and examines supporting materials and agreement documents related to bids or contracts, providing necessary guidance. Acting as a liaison between the organization and subcontractors, the Budget Analyst facilitates the implementation of contracts and maintains contract records to ensure compliance with reporting and regulatory requirements.

Key Responsibilities
  • Verify that indirect costs, professional, and technical fees are accurately applied, ensuring all one-time startup and pass-through fees are accounted for.
  • Ensure that Investigator and Study Team efforts are appropriately included and accounted for.
  • Collaborate with sponsors to negotiate budgets, reconciling sponsor-provided figures with local patient and non-patient costs.
  • Create and maintain various databases while preparing routine and ad hoc financial reports and analyses for different leadership levels.
  • Oversee proper invoicing procedures and maintain accurate accounts receivable records, adhering to necessary reporting requirements.
  • Perform additional duties as assigned.

  • Effective communication skills with the ability to tailor messages to various audiences.
  • Understanding of business, budget, and financial processes and practices.
  • Familiarity with financial guidelines and terminology.
  • Strong planning and organizational skills.
  • Detail-oriented with the ability to exercise sound judgment in complex situations.
  • Robust analytical skills and proficiency in business applications (Excel, Word, PowerPoint, etc.).
Minimum Qualifications
A Bachelor's degree in Business, Finance, Accounting, or a related field, along with three (3) years of budgetary experience in an academic or clinical research environment is required. A proven track record of collaboration with Principal Investigators and expertise in payment setup processes is essential.
