Position Overview
Under general supervision, the Budget Analyst is responsible for the creation and maintenance of diverse databases; preparation of routine and ad hoc financial reports and analyses; monitoring of financial activities; and the formulation of budgets. This role also involves assisting in the upkeep and development of reporting systems, preparing invoices, and maintaining accounts receivable records for external contractors, as well as generating monthly faculty productivity reports. The analyst will develop, prepare, and manage contracts, bids, and proposals that align with specifications and adhere to all relevant policies and regulations. Additionally, this position supports or engages in contract negotiations with suppliers, partners, or customers, ensuring that all one-time startup and pass-through fees are accurately accounted for. The analyst will review contract terms to identify potential risks or compliance issues, examine supporting materials and agreement documents related to bids or contracts, and provide guidance accordingly. Acting as a liaison between the organization and subcontractors, the analyst will facilitate the implementation of contracts and maintain contract records to ensure compliance with reporting and regulatory requirements.

Key Responsibilities
  • Verify that indirect costs, professional and technical fees are accurately applied, and ensure all one-time startup and pass-through fees are accounted for.
  • Confirm that Investigator and Study Team efforts are appropriately included and accounted for.
  • Collaborate with sponsors to negotiate budgets, reconciling sponsor-provided figures with local patient and non-patient costs.
  • Create and maintain various databases while preparing routine and ad hoc financial reports and analyses for various leadership levels.
  • Ensure proper invoicing procedures are followed and maintain accurate accounts receivable records, adhering to necessary reporting requirements.
  • Perform additional duties as assigned.
Required Knowledge, Skills, and Abilities

  • Comprehensive understanding of business, budget, and financial processes and practices.

  • Robust analytical skills and proficiency in business applications (Excel, Word, PowerPoint, etc.).
Minimum Qualifications
A Bachelor's degree in Business, Finance, Accounting, or a related field, complemented by three (3) years of budgetary experience in an academic or clinical research environment is required. A proven track record of working with Principal Investigators and payment setup processes is essential.
