About the Role

The Traveling Construction Field Administrator plays a vital role in our project execution team at Dennis Group Construction & Site Safety. Our projects are complex, requiring significant coordination for successful completion. As a Traveling Construction Field Administrator, you will handle various administrative tasks at construction sites, ensuring smooth project execution from start to finish.

You will frequently interact with our project managers and engineering staff. Your responsibilities will include:

  • Preparing and Maintaining Safety Documents: Ensure compliance with safety regulations and protocols.
  • Facilitating Onboarding and Visitor Management: Coordinate with project teams to ensure seamless onboarding and visitor management.
  • Managing Third-Party Relationships: Develop and maintain strong relationships with subcontractors and vendors.
  • Interacting with Clients and Progress Reporting: Communicate project progress and ensure client satisfaction.
  • Attending Project Meetings and Recording Minutes: Provide accurate and timely meeting minutes.
  • Assisting with Safety and Leading Safety Orientations: Ensure site safety and provide training as needed.
  • Procuring Project Services and Equipment: Coordinate with project teams to procure necessary services and equipment.
  • Preparing and Maintaining Project Reports and Logs: Ensure accurate and timely reporting.
  • Preparing Permit Applications and Coordinating Inspections: Ensure compliance with regulatory requirements.
  • Coordinating Project Setup and Close-Out Activities: Ensure smooth project setup and close-out.
  • Promoting Continuous and Productive Communication: Foster open communication among project participants.
  • Ensuring Site Cleanliness and Enforcing Housekeeping Standards: Maintain a clean and safe work environment.
  • Assisting with Document Turnover and Punch List Management: Ensure accurate and timely document turnover and punch list management.

  • Strong Organizational and Communication Skills: Ability to manage multiple tasks and prioritize responsibilities.
  • Experience in Project Coordination and Administration: Proven experience in assisting project leadership teams.
  • Experience in Third-Party and Client Relationships: Ability to develop and maintain strong relationships.
  • Experience in Progress Reporting, Permit Applications, and Safety: Proven experience in these areas.
  • Proficiency in MS Office and Project Management Tools: Ability to work with MS Office and project management tools.
  • Ability to Work in a Fast-Paced Environment: Ability to manage multiple tasks and prioritize responsibilities.
  • Strong Attention to Detail: Ability to ensure accuracy and attention to detail.
  • Direct Experience in Construction, Engineering, or Architectural Firm: Proven experience in these industries.
  • Ability to Meet Travel Requirements: Ability to travel 100% of the time, working 10 days on, 4 days off at project locations.
