The Healthcare Scheduling Administrator is responsible for managing appointment bookings, responding to phone inquiries, welcoming patients, and organizing patient records for both new and returning individuals. This role involves performing reception tasks to ensure accurate patient data, handling patient discharge processes including the collection of co-pays, co-insurance, and deductibles from current or prior visits, as well as accepting and pre-registering patient appointments for outpatient procedures and surgeries. Additionally, the administrator assists with insurance verification and treatment authorization processes.

Key Responsibilities:

  • Assess potential patient history prior to data processing.
  • Prepare records for new patients and update existing patient files, ensuring all messages are reviewed.
  • Confirm patient billing details, including responsible party, current address, phone number, and insurance provider. Ensure complete copying of insurance cards.
  • Create and prepare charge tickets for scheduled or newly added patients.
  • Accurately and promptly file all patient-related documentation.
  • Assist patients with the authorization process for releasing medical records.
  • Collect co-pays, deductibles, co-insurance, and any outstanding balances.
  • Balance cash received at the end of each day and report as required. Summarize and total all charge tickets at day’s end. Post charges and payments on the same day as service when possible.
  • Support other clerical tasks as needed or requested.
  • Respond to all phone calls in a timely and courteous manner, taking complete and accurate messages. Ensure that callers on hold are attended to promptly.
  • Input information into the computer system according to established protocols.
  • Engage in appropriate communication with patients and physician offices to gather missing information regarding patient accounts.
  • Contact designated pre-certification or prior authorization numbers to secure payment authorizations for services rendered.
  • Initiate communication with insurance companies to obtain necessary authorizations.
  • Maintain professional communication and conduct with patients, colleagues, physicians, and vendors.
  • Uphold HIPAA confidentiality at all times.

Preferred Qualifications:

  • High School diploma or equivalent.
  • Familiarity with medical terminology is preferred.
  • One to three years of experience as a scheduler in a medical office is preferred.
