Position Overview

The Events Operations Manager plays a pivotal role in orchestrating upscale banquets, special occasions, and conferences through effective teamwork with the culinary department, event sales, coordinators, and front-of-house staff. This position is responsible for the recruitment, training, scheduling, and oversight of all front-of-house event personnel. The Events Operations Manager ensures the seamless execution of all food and beverage events within the designated venues, including vendor invoicing and addressing client needs during events.

Key Responsibilities

  • Supervise the logistics of both in-house and community events, liaising with various departments for information and execution.
  • Create, document, and uphold operational procedures for special events and service staff, establishing comprehensive service standards for the offered event concepts.
  • Conduct regular departmental meetings to ensure alignment and communication.
  • Recruit, onboard, train, manage, and develop team members.
  • Collaborate with senior management on financial planning, including forecasting, budgeting, and expense oversight, while monitoring food, beverage, and labor costs.
  • Handle departmental financial tasks, including reviewing invoices, proper coding of staffing, and resolving vendor disputes.
  • Manage inventory, storage, and organization of special events equipment and supplies, conducting monthly audits for food, beverage, and equipment.
  • Plan and coordinate special events, banquets, and conferences, including necessary arrangements for rentals, floral services, and additional support.
  • Prepare event orders, china orders, and purchase requisitions, ensuring all details are meticulously arranged.
  • Oversee event setup, staff briefings, and timing schedules, ensuring guest satisfaction throughout the event.
  • Facilitate post-event processes, including communicating final counts and charges to the sales team, verifying rental equipment returns, and reconciling discrepancies.
  • Submit payroll for events in accordance with company policies and prepare event recaps to analyze profit/loss results.
  • Work closely with key departments to enhance marketing strategies and optimize cost efficiencies.
  • Ensure compliance with company policies regarding hiring, payroll, evaluations, and workplace safety.
  • Maintain a high level of guest satisfaction at all times.
  • Perform any additional duties as assigned.

Qualifications

Education: Bachelor's degree in hospitality, management, or a related field; or equivalent industry experience.

Experience: A minimum of five (5) years in event management, particularly in banquet service and execution.

Preferred Qualifications:

  • Familiarity with catering software.
  • Food safety certification.
  • Knowledge of fine wine service.
  • Sommelier certification.

Required Skills:

  • Exceptional written and verbal communication skills.
  • Strong organizational, time management, and problem-solving abilities.
  • In-depth knowledge of food and wine, particularly in the context of California and Napa Valley.
  • Proven event management and interpersonal skills with a positive, team-oriented attitude.
  • Detail-oriented with a commitment to high service responsiveness.
  • Proficient in MS Office applications.
  • High energy and self-motivation.
  • Excellent logistical planning and delegation skills.

Working Conditions:

Flexibility to work varied schedules, including evenings and weekends, based on business needs. The role requires significant physical activity, including standing for extended periods and lifting. Must be able to work in diverse temperature conditions and travel between locations as necessary.
