Position Overview

Under the general oversight of the Hospitality and Events Manager at Black Stallion Winery, the Trade Hospitality & Events Coordinator plays a pivotal role in facilitating, organizing, and executing both private and internal events. This position is essential in ensuring a superior hospitality experience for trade guests visiting the winery.

Key Responsibilities
Responsibilities encompass the development and management of meals, meetings, and events tailored to winery and client specifications. The coordinator will assist the Hospitality and Events Manager with administrative and logistical tasks related to trade hospitality, including processing hospitality requests, maintaining event calendars, and proactively engaging with the sales team to align on trade visit priorities. The role also involves crafting personalized guest experiences and supporting the execution of trade events.

Essential Duties
- Organizes and conducts wine tastings, tours, and educational activities for VIP, International, and Trade guests to highlight Black Stallion wines.
- Manages the setup and breakdown of event spaces.
- Processes billing for events and hospitality services.
- Oversees guest cottage check-in and check-out, providing walkthroughs and explaining amenities and emergency procedures.
- Executes guest visitation requests and specific needs as outlined in hospitality forms.
- Maintains inventory of hospitality supplies in guest cottages.
- Acts as the primary contact in the absence of the Hospitality and Events Manager.
- Fosters relationships between trade guests and the winery team.
- Assists in establishing luxury standards for guest service and wine tasting experiences.

Event Management
May include:
- Creating and managing proposals, contracts, and event orders for various events, ensuring all details align with winery standards.
- Planning and executing private and company-sponsored hospitality events.
- Maintaining a calendar of events for all private and internal functions, securing necessary resources and equipment.
- Serving as Event Captain during events, supervising staff to ensure smooth operations and adherence to timelines.
- Handling inquiries related to trade, corporate, and private events.

Minimum Qualifications
- High School diploma or equivalent; an Associate degree is advantageous.
- Three years of experience in managing events of varying sizes.
- Preferred experience in the wine industry with a solid understanding of wine.

- Exceptional attention to detail and organizational skills.
- Strong planning, critical thinking, and problem-solving abilities.
- Excellent communication skills, both verbal and written.
- Demonstrated customer service excellence and patience.
- Professional demeanor and appearance.
- Proficient in computer applications, particularly MS Office (Word, Excel, PowerPoint, Publisher).

Working Conditions
- Indoor and outdoor environments with exposure to various weather conditions.
- May require lifting and carrying wine cases.
