Graduate Enrollment Support Specialist

Overview:
The Graduate Enrollment Support Specialist plays a vital role within the Division of Graduate, Online and Professional Studies, offering comprehensive advising and enrollment assistance to students enrolled in the BMEBT program. This position also provides essential administrative and programmatic support to the BMEBT Graduate Coordinators.
Key Responsibilities:
1. Admissions & Enrollment Management
The Specialist will assist newly admitted BMEBT students (both doctoral and master's levels) by providing guidance on course selections for each semester. They will facilitate connections for doctoral candidates with the appropriate associate deans or graduate coordinators to help them identify suitable doctoral advisors. Additionally, the Specialist will support the preparation of research and teaching assistantship offer letters and track their status, as well as assist in drafting advanced standing letters. Collaboration with the Graduate Admissions and Registrar's Office will be essential when required.
2. Student Retention & Engagement
Working closely with the Director of Graduate Student Services and the BMEBT Director/Graduate Coordinator, the Specialist will contribute to the re-enrollment and retention efforts for students enrolled in the BMEBT program each semester. This includes monitoring retention rates and providing regular updates on enrollment trends. The Specialist will track progress towards retention and enrollment goals throughout the academic year, identify potential issues, and assist in the development and execution of strategies to enhance enrollment. They will also aid in scheduling courses such as BMBT.5000 (Introduction to BMEBT) and BMBT.5200 (Bioethics), and provide counseling to diverse student populations through various communication channels.
3. Academic Advising
The Specialist will serve as the primary administrative advisor for master's level students, facilitating the completion of necessary forms and processes required for academic progression in both master's and doctoral programs. Responsibilities include conducting student and degree audits, assisting BMEBT Coordinators with degree clearance, and monitoring student academic records to ensure compliance with academic standards. The Specialist will communicate any discrepancies or issues found in student information systems or advising reports.
4. Administrative Duties
- Organize regular meetings for the BMEBT Graduate Coordinators.
- Engage in student recruitment, orientation, training, and special events.
- Update web page content in collaboration with IT.

Work Environment:
This position involves engagement across various campus locations and may require participation in conferences or workshops. Occasional evening or weekend commitments may be necessary for events.
Qualifications:
- A Master's Degree with 1-3 years of experience in academic administration, collaborating with academic departments, students, and faculty.
- Proficiency in Microsoft Office applications.
- Experience using a CRM system to enhance advising and student services from both student and faculty perspectives.
- Strong oral and written communication skills.
Preferred Skills:
- Ability to work independently with minimal supervision.
- Demonstrated commitment to customer service through timely responses to client inquiries and fostering collaborative relationships with colleagues.
- Familiarity with SIS/Peoplesoft and Salesforce is highly desirable.
- A background in engineering, biomedical engineering, or biomedical technology is a plus.
