Our New York office stands as a cornerstone of our professional culture and career development. We are currently in search of an Administrative Office Specialist who will report directly to the Office Administrator. This position provides a unique opportunity to become part of a well-respected organization that values a collaborative work atmosphere, offering a blend of on-site engagement with some flexibility for remote work.

In this role, you will play a pivotal part in supporting both attorneys and staff within an office comprising around 180 professionals. You will collaborate with various departments, including facilities, IT, recruitment, security, finance, and marketing, to ensure smooth daily operations.

Key Responsibilities:

  • Coordinate maintenance schedules and address facilities-related concerns
  • Assist employees with inquiries and direct them to appropriate departments
  • Plan and organize internal employee events while managing associated expenses
  • Lead the Community Service Committee for the New York office
  • Oversee the office snack program
  • Foster employee engagement and enhance office culture
  • Propose enhancements to processes and documentation
  • Support onboarding and offboarding procedures
  • Manage invoices and the monthly credit card statements
  • Maintain and update internal records and databases
  • Coordinate catering services for meetings
  • Manage off-site storage solutions and office communications
  • Provide backup support at the reception desk
  • Assist with various projects as needed

Qualifications:

  • Minimum of 3 years of office experience
  • Bachelor's degree required
  • Team-oriented with a positive demeanor
  • Ability to adapt to shifting priorities
  • Exceptional communication skills
  • Prompt in responding to emails
  • Strong interpersonal and time management abilities
  • Detail-oriented and proactive approach
  • Proficient in Microsoft Office applications and document management systems
  • Experience in event planning is advantageous
  • Background in facilities maintenance is preferred

This position is primarily based in New York. Compensation will be based on qualifications, experience, education, and certifications, with an anticipated pay range of $43.68 per hour. Additional benefits include overtime compensation and a year-end merit bonus contingent on performance.
