Position Summary
We are seeking an Office Coordinator who embodies a People First approach, ensuring that all new team members have exceptional and meaningful experiences.
Key skills for this role include effective time management, superior communication abilities, and adept workflow coordination, all essential for supporting various projects and engaging with team members across the organization.
The ideal candidate will possess strong problem-solving capabilities and the ability to juggle multiple tasks in a dynamic environment, focusing on enhancing the experience of team members and making it memorable.
Key Responsibilities
- Oversee company-wide communications, including memos, announcements, and invitations.
- Welcome office visitors and employees, ensuring they feel comfortable and addressing any inquiries related to the office.
- Assist staff by performing various administrative tasks, such as document creation, proofreading, communication distribution, and filing.
- Coordinate company-wide events and meetings in shared spaces, ensuring no scheduling conflicts.
- Manage inventory levels of company-branded merchandise and distribute them to employees and visitors.
- Monitor office supply levels and place orders for replenishment as needed.
- Maintain stocked office supplies and ensure office equipment is functional.
- Foster a welcoming environment for office visitors.
- Develop and implement office processes aimed at maximizing efficiency.
Qualifications
- Minimum of 1 year of experience in an office environment or performing administrative duties.
- Meticulous attention to detail in all tasks.
- Strong organizational skills, capable of managing multiple schedules and calendars.
- Ability to prioritize tasks based on urgency and meet tight deadlines.
- Proficient with standard office equipment and management software.
- Excellent interpersonal skills, both in person and via phone.
- Ability to multitask and adapt to changing priorities throughout the workday.
- Bilingual proficiency in English and Spanish is preferred.
Compensation
Compensation will be determined based on the candidate's experience, knowledge, skills, and abilities, as well as internal equity and market alignment.
