Position Summary

We are seeking an Office Coordinator who embodies a People First approach, ensuring excellent and meaningful experiences for all new team members.

Key attributes for this role include effective time management, exceptional communication skills, and the ability to coordinate workflows to support various projects while engaging with team members across all levels of the organization.

The ideal candidate will possess strong problem-solving abilities and the capacity to multitask and adapt in a dynamic environment, focusing on enhancing the team members' experience and making it memorable.

Key Responsibilities

  • Oversee company-wide communications, including memos, announcements, and invitations.
  • Welcome office visitors and employees, ensuring they feel comfortable and addressing any inquiries related to the office.
  • Assist staff by performing various administrative tasks, such as document creation, proofreading, communication distribution, and filing.
  • Coordinate company-wide events and meetings in shared spaces, ensuring no scheduling conflicts.
  • Manage inventory levels of company-branded merchandise and distribute items to employees and visitors.
  • Monitor office supply levels and place orders for replenishment as needed.
  • Maintain a well-stocked supply of office materials and ensure all office equipment is functioning properly.
  • Ensure a welcoming atmosphere for all office visitors.
  • Develop and implement office processes aimed at maximizing operational efficiency.

Qualifications

  • Minimum of 1 year of experience in an office environment or performing administrative duties.
  • Detail-oriented with a focus on precision in all tasks.
  • Strong organizational skills, with the ability to manage multiple schedules and calendars effectively.
  • Capability to prioritize tasks based on urgency and meet tight deadlines.
  • Proficient in using basic office equipment and office management software.
  • Excellent interpersonal skills, both in person and over the phone.
  • Able to multitask comfortably and adapt to shifting priorities throughout the workday.
  • Bilingual proficiency in English and Spanish is preferred.

Compensation

Compensation will be determined based on the candidate's experience, knowledge, skills, and abilities, as well as internal equity and market alignment.
