Export Sales Coordinator for Spare Parts

Position Overview:
The role of the Spare Parts Sales Specialist is crucial in delivering exceptional parts support to our clients utilizing Gala Underwater Pelletizing Systems. This position may also involve assisting with parts for third-party equipment associated with the Gala systems.
Key Responsibilities:
- Engage with clients across Latin America, the Middle East, and Asia to provide timely quotes and process orders efficiently.
- Ensure compliance with export shipping regulations, including a thorough understanding of Incoterms.
- Prepare and manage special commercial invoices and packing slips for customs clearance.
- Collaborate with US and international freight forwarders to identify optimal shipping solutions.
- Proactively pursue orders and manage their processing through our internal systems.
- Coordinate with the service department to handle service, warranty, and no-charge orders.
- Interpret engineering drawings to assist clients in identifying necessary parts.
- Generate spare parts quotes for both new and existing systems.
- Work closely with engineering, technical service, operations, and major equipment sales teams to develop tailored solutions for customers.
- Issue return authorizations and manage the return process, including determining applicable credits or necessary repairs.
- Conduct Visual Compliance Screens and assist with Know Your Customer documentation.
- Establish pricing for commercial parts.
- Fulfill a standard 40-hour work week, with potential overtime as required.
- Perform additional tasks as assigned by management.
Work Environment:
This position is primarily office-based, with occasional visits to the shop floor, necessitating appropriate safety footwear and personal protective equipment. Travel to customer locations may also be required.
Physical Demands:
The physical requirements for this role include regular communication and active engagement with clients, frequent use of computers, and the ability to remain seated for extended periods.
Qualifications:
- High School diploma or equivalent is mandatory.
- A minimum of 1 year of experience in a customer service environment is required.
- Proficiency in Microsoft Word, Excel, and Outlook is essential.
- At least 3 years of experience in a customer service role, with knowledge of international shipping regulations.
- Strong verbal and written communication skills are mandatory.
- Highly organized with a proactive approach to problem-solving.
- A collaborative team player with a strong work ethic and commitment to customer satisfaction.
- Ability to thrive in high-pressure situations.
