POSITION PURPOSE:

The Community Association Manager is accountable for overseeing the operations, maintenance, and management of designated homeowner associations. This role involves proactive leadership in collaboration with Boards of Directors, focusing on maintenance, financial forecasting, and strategic planning for the future of the communities we serve. The manager will provide comprehensive information to Board members, anticipating their inquiries and guiding them in decision-making processes, which is essential for effective leadership.

KEY RESPONSIBILITIES:

  • Oversee a portfolio of communities, which may include single-family homes, townhouses, condominiums, or commercial properties.
  • Coordinate with various support teams to ensure timely completion of association deliverables.
  • Maintain clear communication with clients and internal partners to achieve goals set by the Board regarding relevance, budget, and service quality.
  • Advise and assist Board members in conducting business through proactive planning and leadership.
  • Manage planning for large-scale projects and legal deadlines, serving as the primary contact for the Board of Directors and committees.
  • Conduct regular site inspections to monitor project progress, common area conditions, and compliance with association rules.
  • Implement policies and directives established by the Board and communicate updates effectively to support teams.
  • Stay informed about governing documents, state regulations, and local ordinances relevant to each community.
  • Ensure the physical property of the association is maintained according to contractual obligations.
  • Direct support teams in preparing materials for Board and annual membership meetings.
  • Attend Board and committee meetings as required.
  • Ensure all association deadlines for maintenance and legal obligations are met.
  • Assist in budget preparation by reviewing community history and documentation.
  • Manage financial aspects, including invoice review, cash flow planning, and budget monitoring.
  • Support committees and volunteers in obtaining project bids and coordinating reserve study updates.
  • Perform additional duties and special projects as assigned.

QUALIFICATIONS:

  • High School Diploma or equivalent.
  • Minimum of one year of experience in community management.
  • Industry certifications or licensing may be required, depending on state regulations.
  • Proficient in Microsoft Outlook, Excel, and Word.
  • Strong leadership and public speaking skills.
  • Ability to manage deadlines and prioritize tasks effectively.
  • Willingness to learn company processes and proprietary software.
  • Ability to work independently with minimal oversight.
  • Demonstrated positive attitude and ownership mentality.
  • Strong problem-solving skills and resourcefulness.
  • Excellent written and verbal communication abilities.
  • Ability to delegate tasks while maintaining accountability.
  • Conflict resolution skills to address challenges with Board members or homeowners.

ADDITIONAL REQUIREMENTS:

  • Reliable transportation for site visits and availability for evening and weekend meetings.
  • Valid driver's license and vehicle insurance in compliance with company policy.
  • Ability to drive at night if necessary.

ESSENTIAL FUNCTIONS:

  • Utilize standard office equipment and multiple web-based applications.
  • Ability to walk for extended periods during site visits and meetings.
  • Capable of remaining stationary for certain tasks.
  • Ability to lift up to 25 pounds.
  • Travel to various offsite locations as needed.
