Job Description:

We are seeking a highly skilled and experienced Executive Assistant to join our team at Contemporaries. As an Executive Assistant, you will provide top-level administrative support to our Division Director and contribute to the overall functioning of the office.

Responsibilities:

  • Provide executive support and expertise to improve and oversee the overall functioning of the office.
  • Coordinate day-to-day office operations, including scheduling meetings and managing calendars.
  • Gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input.
  • Provide technical writing expertise to assist researchers and staff prepare documents.
  • Maintain accurate databases and spreadsheets, and create reports for management.
  • Schedule meetings, coordinate meeting details, and record and distribute meeting minutes.
  • Maintain extramural email communication with international communities.
  • Stay abreast of and implement current regulations, policies, and procedures, and update staff on relevant information.
  • Research and propose new administrative procedures.

Requirements:

  • Previous experience working as an Executive Assistant, Program or Project Manager, or an Office Manager that provided executive support.
  • Experience working for NIH or other government organizations is highly preferred.
  • Strong writing skills and experience reporting or editing other official documents.
  • Must have Purchasing and inventory management experience.
  • Expert in meeting management including reservations, scheduling, meeting minutes, and audiovisual setup.
  • Highly organized, especially when it comes to managing executive calendars and meetings.

Salary: $65,000 - $90,000 per annum, depending on experience.
