About the Job

The Administrative Assistant III role at Fidelity Partners is a dynamic position that requires exceptional administrative skills and experience. The successful candidate will provide high-level support to senior staff, manage day-to-day office operations, and ensure seamless communication among team members.

Key Responsibilities:

  • Coordinate office activities, including problem-solving, organization, and task prioritization.
  • Respond to written communications and maintain staff calendars.
  • Ensure staff attendance at meetings, coordinate meeting materials, and arrange remote and live events.
  • Query attendees' schedules, reserve conference space, and configure communication applications.
  • Develop work products and documents for special projects, requiring research and data entry into government databases.
  • Purchase office supplies and track administrative budgets using software like Excel and Access.
  • Analyze data, create spreadsheets, graphs, and presentations using Microsoft Office tools.
  • Perform daily clerical tasks, collect mail, answer phones, and provide customer service.
  • Review incoming correspondence, identify missing information, and type final documents.
  • Maintain electronic filing systems and SharePoint sites.
  • Exercise discretion in safeguarding confidential files and sensitive information.
  • Order office supplies, services, and equipment as needed.
  • Perform other assigned administrative duties, including timekeeping and property tracking.

Qualifications:

  • Bachelor's degree or equivalent experience with 4 years of related work experience.
  • Ability to perform complex administrative tasks and support senior staff.
  • Advanced computer skills, including proficiency in Microsoft Office and database management.
  • Knowledge of personal computers, word-processing, spreadsheets, and database software.
  • Ability to conduct searches for program-related information and compose correspondence.
  • Fully qualified typist required.
  • Excellent writing, grammar, spelling, and punctuation skills.
  • Strong interpersonal skills to work effectively with all levels of management and staff.
