POSITION SUMMARY
Under the supervision of the Sales Operations Manager, this role encompasses a variety of administrative and customer service responsibilities that necessitate a comprehensive understanding of clerical practices, as well as the principles and processes essential for delivering exceptional customer service.

ESSENTIAL FUNCTIONS
In SAP, facilitate the daily conversion of shipped packing slips into invoices, ensuring accuracy and incorporating any incurred Premium Freight costs for shipments. Adhere to customer-specific requirements by sending or uploading ASN information on a daily basis.
Provide shipment details to customers as needed and establish, maintain, and oversee precise and efficient electronic filing systems. Scan invoices and shipping documents into electronic formats.
Email international shipping documents to clients and archive them in electronic folders.

Respond to customer requests for shipping documents (e.g., bills of lading, packing lists, invoices) and perform daily updates to the Premium Freight Report. Update the Antaya Premium Freight Report located in TEAMS on a daily basis and submit all premium freight data to the Aptiv PTA system.

Convert EDI delivery schedule receipts into Excel format as required. Regularly conduct inventory checks and order office supplies, materials, and services for internal personnel as necessary. Handle confidential information with utmost security and adhere to EMS and IATF 16949 Policies and Procedures. Perform any other related duties as assigned by the manager.

KNOWLEDGE, SKILLS AND ABILITIES
Proficient knowledge of administrative and clerical practices and procedures. Ability to manage confidential and sensitive information with discretion.
Skilled in operating office technology and equipment (e.g., computer systems, calculators, telephone systems, scanners, postage meters, fax machines, copiers, etc.). Proficient in utilizing various company-related systems and databases.

Competent in using computer programs such as Microsoft Office applications. Capable of working effectively with internal and external personnel, customers, vendors, suppliers, outside agencies, and the general public. Excellent verbal and written communication skills. Ability to multitask and prioritize work to meet deadlines. Capable of handling situations and telephone inquiries with courtesy, tact, and professionalism.

QUALIFICATIONS
High School Diploma or GED equivalent; or completion of a technical/trade school program. A minimum of two (2) years of experience in office, clerical, and customer service roles is preferred. SAP experience is a plus. Proficient in reading, writing, and speaking English.

Demonstrated computer proficiency and skills in office applications such as MS Word, Excel, and Outlook.
