Position Title: Senior Operations Coordinator (Part-Time, Maternity Leave Cover)

We are currently seeking a proactive and detail-oriented individual to join our team as a Senior Operations Coordinator to cover maternity leave.

Role Overview:

The selected candidate will be responsible for overseeing all operational functions within our organization during a maternity leave period of 14 months, which includes a comprehensive handover process.

Key Responsibilities:

  • Financial Management: Collaborate with external financial advisors, bookkeepers, and accountants to streamline financial operations.
  • Maintain financial forecasts and provide reports to senior management to ensure effective resource allocation within budget constraints.
  • Accurately process accounts payable and receivable transactions in a timely manner.
  • Assist with payroll processing and related administrative tasks, including benefits and pension management.
  • Foster relationships with suppliers and stakeholders to guarantee timely service delivery.

IT Coordination:

  • Manage the relationship with the IT support team and oversee ongoing IT-related inquiries.
  • Procure IT hardware and software in alignment with business needs and budgetary guidelines.
  • Support the maintenance of internal IT infrastructure with assistance from external IT specialists.
  • Facilitate IT onboarding and induction processes for new team members.

Office Administration:

  • Enhance office productivity by managing administrative systems and processes.
  • Ensure adherence to company policies and procedures.
  • Address operational challenges and emergencies, implementing necessary corrective measures.

Human Resources Support:

  • Assist with HR functions, including recruitment, onboarding, and maintaining employee records.
  • Collaborate with department leaders to align with organizational objectives.
  • Oversee the administration of employee benefits.

Qualifications and Skills:

  • Demonstrated experience in operations management; mid to senior-level experience is essential.
  • Exceptional organizational and time management abilities.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite is required.
  • Excellent communication and interpersonal skills.
  • Numerical aptitude and diligence.
  • Ability to handle confidential information with discretion.

What We Offer:

  • Pension: Standard scheme with 5% employee contribution and 3% employer contribution after three months.
  • Holidays: 12.5 days of holiday pro rata based on a part-time schedule.
