Position Overview

The role of the Patient Service Specialist is integral to the administration team, focusing on the execution of daily front-end responsibilities to ensure efficient operations within the healthcare practice.

Key Responsibilities
  • Manage incoming calls, directing them appropriately and taking messages to ensure effective communication.
  • Provide essential information to callers while adhering to authorized medical advice protocols.
  • Deliver exceptional customer service to both new and existing patients.
  • Create and maintain patient cases, documenting all communications in the electronic medical record (EMR) system.
  • Schedule patient appointments and necessary tests as per requests.
  • Register patients in the EMR, verifying demographic information and collecting accurate health insurance details.
  • Conduct eligibility checks to confirm insurance accuracy.
  • Collect co-pays and any outstanding balances from patients.
  • Follow established scheduling guidelines to coordinate patient visits across various practices.
  • Engage in pre-visit planning for upcoming appointments, including insurance eligibility verification.
  • Obtain prior authorizations and referrals as required by practice needs.
  • Perform outreach to designated patient groups for care and quality measurement initiatives.
  • Schedule specialty appointments and testing as necessary.
  • Work within EMR buckets as directed, addressing administrative supply needs, and assisting with orders.
  • Follow up with providers regarding missing documentation and assist in claims creation.
  • Manage assigned revenue cycle tasks effectively.
  • Work independently with minimal supervision while adhering to company policies and maintaining patient confidentiality.
Qualifications

Skills: Strong commitment to customer service excellence, outstanding communication, and interpersonal skills are essential. Familiarity with EMR systems is highly preferred, with experience in Microsoft Office Suite being advantageous.

Education & Experience: A high school diploma or equivalent is required, with one to three years of experience in a medical secretary role preferred.
