We are currently seeking a dedicated Operations Support Specialist to enhance our dynamic construction office team.

Key Responsibilities

The successful candidate will be instrumental in supporting our utility construction field team. Key duties include:

  • Timesheet Management: Ensure accuracy in payroll and equipment hours by updating and maintaining timesheets. Review field-entered time for discrepancies.
  • Billing Processes: Manage weekly billing for time and materials-based work, ensuring all documentation is complete.
  • Crew Documentation: Maintain and distribute daily logs of crew locations.
  • Absence and Overtime Monitoring: Track field absences and overtime accurately for reporting purposes.
  • Material Invoicing: Identify and invoice materials that are directly billable under time and materials contracts.
  • Utility Coordination: Assist field supervisors in securing necessary site utilities.
  • Manpower and Equipment Reporting: Help maintain manpower reports and conduct weekly audits of equipment utilization.
  • General Assistance: Provide support to division staff with daily operations and maintain organized division files.
Qualifications
  • High School diploma or equivalent required.
  • Relevant office experience with proficiency in Microsoft Office applications (Word, Excel, Outlook, SharePoint) and familiarity with iOS platforms.
  • Experience with ERP or accounting software and a willingness to learn new systems.
  • Detail-oriented with excellent organizational and time management skills; capable of multitasking and effective communication across all levels of the organization.
  • A collaborative team player with strong problem-solving abilities.
  • Proven experience in building relationships and communicating effectively with various stakeholders.
