Position Overview

The Event Coordination Specialist plays a vital role within the Parks, Recreation, and Culture Division, overseeing the comprehensive execution of events for the Town of Windsor and its partners. This position is entrusted with significant authority to ensure that events are successfully managed from the planning stages through to post-event evaluations.

Key Responsibilities

Working in collaboration with the Recreation Coordinator of Events and Sponsorships, as well as external event planners, contractors, and vendors, the Event Coordination Specialist is responsible for:
  • Facilitating communication with vendors and contractors to guarantee seamless event operations.
  • Preparing event setups, including arranging tables, chairs, tents, and other necessary equipment.
  • Managing event logistics during on-site operations, ensuring safety and security for all attendees.
  • Delivering exceptional customer service by addressing inquiries and resolving issues promptly.
  • Monitoring compliance with event regulations and safety protocols.

Work Schedule

This role typically requires a commitment of 30-40 hours per week, with flexibility for evenings, weekends, and holidays as necessary. Employment is temporary and may extend throughout the year based on the town's requirements, but will not exceed six months or 1,040 hours.

Qualifications

Applicants should possess:
  • A high school diploma or GED; an Associate's or Bachelor's degree in a related field is preferred.
  • A minimum of one year of experience in event management or coordination.
  • A valid Colorado Driver's License or the ability to obtain one upon hire.
  • CPR/First Aid certification within three months of employment.

Physical Requirements

This position involves medium physical demands, including lifting up to 50 pounds and performing various physical activities such as standing, walking, and reaching. The role may require working in various environmental conditions, both indoors and outdoors.
