Position Overview

The Event Specialist plays a vital role in ensuring the successful execution of events for the Town of Windsor and its partners. This position involves comprehensive event management from initial planning stages through to post-event evaluations. The Event Specialist collaborates closely with the Recreation Coordinator of Events and Sponsorships, as well as various external stakeholders including event coordinators, contractors, vendors, and attendees. Exceptional judgment and decision-making abilities are essential for this role.

Key Responsibilities

As a key member of the Parks, Recreation, and Culture Division, the Event Specialist is responsible for:
  • Facilitating communication between vendors, contractors, and event coordinators to ensure seamless event operations.
  • Setting up necessary event supplies, including tables, chairs, tents, and equipment, prior to events and ensuring proper storage post-event.
  • Working flexible hours, including evenings and weekends, to accommodate event schedules.
  • Overseeing the safety and security of guests during events and ensuring compliance with all regulations.
  • Delivering outstanding customer service by addressing inquiries and resolving issues promptly.
  • Identifying and reporting hazards to maintain a safe environment.
  • Assisting with various administrative tasks as required.

Qualifications

To be considered for this position, candidates should possess:
  • A high school diploma or GED.
  • Must be at least 18 years of age.
  • Preferred: An Associate's or Bachelor's degree in a related field such as event management, recreation, or marketing.
  • At least one year of experience in event management or coordination.
  • A valid Colorado Driver's License or the ability to obtain one upon hire.
  • CPR/First Aid certification within three months of employment.

Skills and Abilities

Successful candidates will demonstrate:
  • Strong organizational skills and the ability to work independently in a dynamic environment.
  • Excellent customer service skills to effectively engage with the public.
  • Ability to manage conflicts and resolve disputes professionally.
  • Proficiency in Microsoft Office Suite and familiarity with various digital tools.

Working Conditions

This position requires physical stamina, including the ability to lift up to 50 pounds and perform various physical activities. The work environment may involve both indoor and outdoor settings, with exposure to varying weather conditions.
