Position Overview:

We are in search of a proactive, meticulous, and exceptionally organized professional to join our team as a Senior Executive Assistant. This role is pivotal in providing comprehensive support to our Senior Vice President of Software and Services within the Software Engineering sector.

Key Responsibilities:
  • Enhance administrative workflows to maximize the executive's productivity.
  • Establish effective systems for overseeing office operations.
  • Ensure timely management of correspondence, global mail requests, and phone communications.
  • Draft and prepare high-quality reports, letters, and various documents.
  • Evaluate routine data to deliver insightful analyses.
  • Maintain precise records, confidential files, and specific reports.
  • Coordinate complex meeting schedules and manage multiple calendars efficiently.
  • Continuously identify opportunities for improving daily operational efficiencies.
  • Assist in the onboarding process for new team members.
  • Organize travel logistics, including visa applications, passport arrangements, and expense reporting.
  • Oversee invoicing related to departmental expenditures.
  • Provide support for IT, mobile devices, and MML inquiries.
  • Facilitate non-disclosure agreement processes.
  • Embrace and utilize technology to enhance office management.

Qualifications:
  • A minimum of 5-7 years of experience in an executive administrative role or similar positions.
  • Proven ability to manage highly confidential information with discretion and integrity.
  • Exceptional time management skills, with the capability to prioritize and coordinate tasks effectively.
  • Flexibility to adapt to last-minute changes with ease.
  • Strong attention to detail coupled with outstanding multitasking skills.
  • Experience supporting senior management or executives in an administrative capacity.
  • Demonstrated organizational and planning capabilities.
  • Excellent interpersonal skills and problem-solving aptitude.
  • Proficiency in COe software, including MS Word, Excel, PowerPoint, scheduling tools, and SharePoint.
  • Outstanding written and verbal communication skills.

Education:

A two-year degree or professional certification in a relevant field, or equivalent work experience (ten years) is required. A four-year college degree is preferred.

This role is categorized as hybrid, requiring in-office presence a minimum of three times per week.

Compensation details are provided as a good faith estimate based on potential earnings in the California Bay Area.
