Key Responsibilities:
- Enhance administrative processes to maximize the leader's productivity
- Establish effective systems for overseeing office operations
- Ensure timely management of correspondence, global mail requests, and phone communications
- Draft well-structured reports, letters, and various documents
- Evaluate routine data to offer insightful analysis
- Maintain precise records, confidential files, and department-specific reports
- Organize complex meetings and oversee multiple calendars
- Continuously identify opportunities for improving daily efficiencies
- Assist with onboarding procedures for new hires
- Coordinate travel logistics, including visas, passports, and expense documentation
- Oversee invoicing for departmental expenditures
- Provide support for IT, mobile devices, and management assistance
- Facilitate non-disclosure agreement processes
- Embrace technology and utilize tools for effective office management
Required Skills & Qualifications:
- A minimum of 5-7 years of experience as a senior administrative assistant or in comparable roles
- Proven ability to manage highly sensitive information with discretion and trust
- Exceptional time management skills, with the capacity to coordinate and prioritize tasks effectively
- Flexibility to adapt to last-minute changes seamlessly
- Strong attention to detail and outstanding multitasking capabilities
- Experience collaborating with senior management or executives in an administrative capacity
- Demonstrated planning and organizational proficiency
- Excellent interpersonal skills and problem-solving aptitude
- Proficiency in COe software, including MS Word, Excel, PowerPoint, scheduling tools, and SharePoint
- Outstanding written and verbal communication skills
Education & Training:
- Two-year degree or professional certification in a relevant field or equivalent work experience (ten years)
- Four-year college degree preferred
This role is categorized as hybrid, requiring the successful candidate to report to the designated location three times per week, at minimum.
The annual salary range for this position is $98,900 - $158,000. The actual base salary offered will vary based on relevant factors.
Bonus Potential:
An incentive pay program provides payouts based on company performance, job level, and individual contributions.
