We are seeking a Scheduling Administrator to become a vital part of our organization.
The Scheduling Administrator will oversee the coordination and management of daily schedules for Field Technicians who deliver fire protection services to a diverse clientele. The role demands effective scheduling and dispatching of technicians to fulfill all customer commitments while adhering to PSI efficiency benchmarks.
After successfully completing training, a flexible hybrid work schedule will be available, allowing for 1-2 days of remote work and 3-4 days in the office each week.
Compensation ranges from $25 to $30 per hour, based on relevant skills and experience.
Key Responsibilities:
Scheduling Duties
- Develop and organize service and inspection appointments with clients using our Field Service Management software for fire alarm, sprinkler, suppression, extinguisher, and gate & door services.
- Analyze daily reports to ensure efficient technician schedules (including jobs and travel time) that meet productivity standards.
- Maintain a list of jobs with flexible service windows to facilitate quick adjustments to technician schedules in response to unexpected changes.
- Manage emergency service requests and reassign technicians based on location, availability, and required expertise.
- Provide assistance to technicians and clients regarding schedule-related inquiries, escalating issues to management when necessary.
Communication Responsibilities
- Uphold PSI customer service standards through proactive communication via Field Service Management software, phone, and email.
- Ensure clients are fully informed about our service fees.
- Collaborate closely with technicians, managers, and other internal stakeholders, effectively relaying information between clients and the team.
- Respond to customer inquiries related to inspections, repairs, and emergency services.
- Confirm that all necessary information for technicians to complete their tasks is current in the Field Service Management software.
- Verify that all customer details required for invoicing are accurate at the time of scheduling (billing contact, purchase order, etc.).
Additional Responsibilities
- Other tasks may include basic administrative duties, reviewing inspection and compliance reports, providing quotes for emergency service rates, and undertaking related special projects as assigned.
Qualifications:
- High School Diploma or GED required.
- Associate or Bachelor's degree preferred.
- At least 1 year of administrative experience.
- Scheduling and/or dispatching experience is preferred but not mandatory.
- Familiarity with fire life safety or similar industries is a plus.
- Proficient computer and software skills, including Microsoft Office, CRM, ERP, and work order management systems.
- Proven track record of excellent customer service and professional demeanor.
