Position Overview

The Event Facilitator is responsible for cultivating a welcoming and engaging environment for guests and participants at various events. This role involves greeting attendees upon arrival, managing event logistics, and ensuring that all activities proceed smoothly. The Event Facilitator is dedicated to delivering exceptional customer service while maintaining a safe and enjoyable atmosphere for all involved. Events may encompass a range of occasions, including weddings, corporate gatherings, retreats, and fundraising activities. Compensation begins at $16/hour.

Key Responsibilities:

  • Execute event services as outlined in contracts and adapt to any spontaneous needs that may arise during the group's stay.
  • Collaborate effectively with program staff and catering services to guarantee accurate information and resource allocation.
  • Welcome groups upon arrival and guide them to their designated events and accommodations.
  • Familiarize groups with facility locations, guest regulations, and emergency procedures.
  • For youth-oriented events, plan and oversee activities, engage with participants, and manage setup and cleanup of spaces and amenities. This may include facilitating games, conducting safety tests, or assisting with recreational features.
  • If necessary, maintain precise billing records, document maintenance needs, and complete incident reports.
  • Take charge in emergency situations, ensuring the safety of all participants.
  • Provide guests with relevant resources and information to enhance their experience.

Relationship Management:

The Event Facilitator will interact regularly with board committees, community leaders, camp management, staff, and volunteers. This role may also involve providing guidance to event planning personnel and volunteers.

Qualifications:

Required:

  • Must be at least 18 years old.
  • Certification in BLS, First Aid, and Oxygen Administration is required within the first month of employment.
  • Strong attention to detail and the ability to remain calm and make decisions in emergency situations.
  • Flexibility in handling diverse groups and scenarios.
  • Excellent verbal and written communication skills, with experience in public speaking.
  • Professional representation of the YMCA is essential.
  • Ability to work independently and collaboratively within a team.
  • Capable of anticipating project needs, prioritizing tasks, and meeting deadlines with minimal supervision, including willingness to work evenings and weekends as needed.
  • Basic computer proficiency.
  • Reliable transportation is required.

Preferred:

  • Previous experience in event hosting, hospitality, or related fields.
  • Multilingual abilities are a plus.

Working Conditions:

  • Willingness to travel to various event locations.
  • Ability to lift up to 50 lbs. for event setup and breakdown.
  • Capacity to work shifts exceeding 12 hours on event days and be available on-call as required.
  • Exposure to a dynamic environment that may include verbal interactions and physical activities.
  • Work settings may vary from quiet areas to busy indoor and outdoor spaces with multiple groups interacting simultaneously.
  • Active participation in youth games and activities may be required.
