Role Summary

The Senior Manager, Event Coordination and Sales Operations, plays a pivotal role in overseeing the execution of diverse processes and initiatives that facilitate meetings, events, sales operations, and training programs. This individual will collaborate with the organization’s event planning partners and work independently to manage a wide array of programs and activities. The incumbent must demonstrate adaptability to the budgeting, contracting, planning, and financial processes associated with meetings and events while providing ongoing support to Sales Operations and Training.

Key Responsibilities

  • Oversee the scheduling and management of commercial team meetings, sales operations, and training calendars, ensuring alignment with headquarters stakeholders.
  • Conduct venue and vendor searches, ensuring all service agreements and contracts comply with company guidelines while coordinating annual conferences and conventions.
  • Develop and manage comprehensive budgets for each meeting, ensuring approval and effective execution with documented final costs and savings.
  • Collaborate with internal stakeholders to identify and manage attendee-facing content at meetings, including registration websites, agendas, signage, and travel details.
  • Facilitate regular planning meetings for Commercial Operations, Training, and Sales Operations, ensuring effective communication among all stakeholders.
  • Lead third-party partner meetings to ensure operational excellence and consistency across various service providers.
  • Drive the execution of meeting logistics from inception to completion, including onsite management of various types of meetings.
  • Coordinate logistics for new hire training and field-based team committees, ensuring travel availability and timely communication.
  • Manage annual sales award and recognition events in collaboration with senior leadership and third-party partners.
  • Oversee recognition program budgets and reporting, ensuring alignment and compliance across the organization.
  • Process invoices and expenses in a timely manner, collaborating with Payroll and Finance to track spending and ensure accurate reporting.
  • Provide ad hoc meeting and event support as required.

Qualifications

  • Bachelor's degree required.
  • A minimum of 7 years of relevant experience in meeting planning, sales operations, and training support.
  • Strong understanding of the pharmaceutical industry.
  • Exceptional written and verbal communication skills.
  • Proficient in budget management, contract negotiation, and reporting.
  • Outstanding interpersonal skills with a proven ability to engage in collaborative initiatives.
  • Excellent analytical and problem-solving skills.

  • Demonstrated attention to detail and follow-through.
