Administrative Assistant Job Description

The Administrative Assistant plays a vital role in ensuring the smooth operation of our organization. This position provides comprehensive administrative support to senior leaders, ensuring efficient management of schedules, coordinating meetings, and other administrative duties.

Key Responsibilities:
  • Calendar Management: Manage and coordinate schedules, including meetings, appointments, and travel arrangements for assigned leaders, ensuring optimized use of their time.
  • Communication: Serve as a point of contact for internal and external communications, screening and prioritizing emails, phone calls, and other correspondence.
  • Meeting Coordination: Organize and prepare for meetings, including scheduling, agenda preparation, and document distribution, ensuring a welcoming environment for all attendees.
  • Document Preparation: Produce meeting agendas, minutes, and other administrative documents, formatting and proofreading presentations, reports, and correspondence.
  • General Administrative Tasks: Develop and maintain office workflow and communication, including phone management, email correspondence, expense reconciliation, and providing customer service to internal and external stakeholders.
  • Executive Administrative Support: Provide backup support to the Senior Executive Assistant when required, assisting in managing tasks and responsibilities to ensure continuity of administrative functions.
Requirements:
  • High School Diploma or GED required.
  • Associate's Degree in Business Administration, Management, Communication, or related field preferred.
  • 3+ years of administrative experience required.
  • 1+ years of experience supporting senior management or executives required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software required.
  • Strong organizational, attention to detail, and multitasking abilities required.
  • Good written and verbal communication skills required.
  • Ability to maintain confidentiality and exercise discretion required.
  • Detail-oriented with strong problem-solving skills required.
  • Proactive and able to work independently with minimal supervision required.
  • Adaptable to changing priorities and able to handle multiple tasks simultaneously required.
  • Professional demeanor with strong interpersonal skills required.
