Key Responsibilities:- Calendar Management: Manage and coordinate schedules, including meetings, appointments, and travel arrangements for assigned leaders, ensuring optimized use of their time.
- Communication: Serve as a point of contact for internal and external communications, screening and prioritizing emails, phone calls, and other correspondence.
- Meeting Coordination: Organize and prepare for meetings, including scheduling, agenda preparation, and document distribution, ensuring a welcoming environment for all attendees.
- Document Preparation: Produce meeting agendas, minutes, and other administrative documents, formatting and proofreading presentations, reports, and correspondence.
- General Administrative Tasks: Develop and maintain office workflow and communication, including phone management, email correspondence, expense reconciliation, and providing customer service to internal and external stakeholders.
- Executive Administrative Support: Provide backup support to the Senior Executive Assistant when required, assisting in managing tasks and responsibilities to ensure continuity of administrative functions.
- High School Diploma or GED required.
- Associate's Degree in Business Administration, Management, Communication, or related field preferred.
- 3+ years of administrative experience required.
- 1+ years of experience supporting senior management or executives required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software required.
- Strong organizational, attention to detail, and multitasking abilities required.
- Good written and verbal communication skills required.
- Ability to maintain confidentiality and exercise discretion required.
- Detail-oriented with strong problem-solving skills required.
- Proactive and able to work independently with minimal supervision required.
- Adaptable to changing priorities and able to handle multiple tasks simultaneously required.
- Professional demeanor with strong interpersonal skills required.
