Position Overview:


As a Project Administration Coordinator at Flatiron Construction Corp, you will oversee office operations, facility management, and employee assistance for a designated project site within our division.


Key Responsibilities:


Facilitates the onboarding process for new employees, which includes managing drug screening procedures, delivering first-day orientation content, and ensuring the timely and compliant submission of new hire paperwork.


Inputs data and reconciles invoices and purchase order (PO) details within the company’s procurement system to guarantee accurate and prompt payments.

Acts as a point of contact between vendors, subcontractors, and external partners to address invoicing and payment queries.


Records equipment usage and time entries in the company’s tracking system to assist with weekly and monthly equipment usage reports.

Provides daily office support and addresses employee inquiries, collaborating closely with human resources and payroll to resolve employee-related issues.

Manages asset distribution and tracking for the assigned employee group or project.

Completes additional tasks as directed by management.


Handles incoming calls, messages, mail, and packages for the office, directing them to the appropriate personnel in a professional and customer-focused manner.

Orders office supplies, oversees facility maintenance, and coordinates office equipment repairs as needed.

Conducts and supervises Equal Employment Opportunity (EEO) Compliance training, communications, and participation for the assigned group. (US Only)


Collects, inputs, tracks, and processes Craft payroll weekly, ensuring accurate and complete records are submitted to the relevant regulatory agencies and the company payroll department.

Maintains an understanding of the company’s values and strategic objectives.

Supports established corporate policies.

Qualifications:
High School Diploma or GED is required.

Minimum of 3 years of administrative experience in the construction sector is essential.

Advanced understanding of construction industry practices and project business operations.

Familiarity with subcontractor invoicing and accounts payable cost coding is beneficial.

Proficiency in MS Office Suite, including Word, PowerPoint, Outlook, and Excel is required.

Demonstrated initiative, organizational skills, and the ability to prioritize tasks effectively are necessary.

A friendly demeanor and a strong customer service orientation are essential.

Ability to maintain strict confidentiality and discretion regarding company and personnel information is crucial.
