Job Title: Administrative Program Coordinator

We are seeking an experienced Administrative Program Coordinator to support the functions of the Project Director and project staff in accomplishing project objectives. The successful candidate will have excellent organizational and communication skills, with the ability to work effectively in a diverse community.

Key Responsibilities:
  • Process travel requests and take notes during team meetings and external evaluators' visits.
  • Coordinate activities such as reserving the room and sketching room layout/setup.
  • Facilitate and coordinate approaches for outreach activities for the HSI Grant Team.
  • Receive, sort, and distribute mail; accept and sign for package deliveries.
  • Monitor the general office email accounts and respond effectively and efficiently to all email inquiries.
  • Maintain office supply inventory; process requisition orders for billing purposes as needed.
  • Maintain a high level of confidentiality and tactfulness in accordance with FERPA requirements and college policies.
  • Reply timely to inquiries (by phone, in person, and by email), selecting relevant data from a variety of sources and direct inquiries to appropriate person and/or unit.
  • May assist in managing the office calendar of events and deadlines, and scheduling meets.
  • Assist the HSI Grants team members with other various tasks.
Requirements:
  • Associate's degree in a related field and one (1) year of professional experience related to the standard duties as outlined.
  • Equivalency: High School Diploma with three (3) years' experience in a related field. Any equivalent combination of education, training, and/or experience as approved by the Human Resources Department.
Working Environment:

The Administrative Program Coordinator will work in a typical office environment, with significant amounts of interpersonal interaction, including oral and written communication. The ability to keep track of multiple tasks, projects, deadlines, information sources, and business processes is essential.
