Job Summary
As an Executive Administrative Coordinator, you will undertake significant and intricate responsibilities related to specialized clerical functions.

Duties may include:
Planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing information. A comprehensive understanding of policies, procedures, and methods relevant to your area of responsibility is essential. Initiative and independent judgment are frequently exercised in the development of procedures or methods, as well as in program coordination.

Work is conducted under general supervision, adhering to established policies and procedures, with performance assessed based on the completion of assignments and the results achieved.


Organizational Relationships
Reports to: Designated supervisor
Supervises: May oversee clerical staff

Essential Duties
  • Engage in technical clerical work that necessitates independent judgment.
Utilize independent judgment to select and transcribe data from documents that have not been pre-examined or coded. Establish work priorities for a section or clerical function. Develop procedures and methods in alignment with general policy. Schedule appointments for the supervisor; greet and screen visitors. Address telephone inquiries and questions from visitors regarding departmental policies and procedures. Conduct mail runs, receiving, logging, sorting, and distributing mail. Draft routine correspondence to students or the general public. Input bookkeeping information and prepare summary reports. Compose letters, reports, forms, and other materials from notes, rough drafts, or dictation. Maintain a variety of complex and/or confidential records and files. Assemble and organize materials for the supervisor to complete work assignments. Prepare annual appointment and budget forms, periodic reports, and class and/or office schedules. Coordinate office details and supervise and train clerical employees. Execute specialized functions and complete special projects. Develop office forms and initiate changes in office procedures.

Additional Duties
Welcome and direct visitors, staff, faculty, and students. Review the work of other clerical employees. Perform other duties as assigned.

Education
A high school diploma or equivalent is required. Some college coursework is preferred.

Experience
Four years of progressively responsible clerical experience. Additional job-related education may substitute for some of the required experience on a year-for-year basis.

Regular and reliable attendance is essential for this position.


Knowledge, Skills, and Abilities
  • Essential: Working knowledge of office practices and methods.
Ability to perform mathematical calculations and verify information accurately. Ability to coordinate work with other employees, providing direct instruction or supervision as needed.

Ability to organize work effectively, conceptualize and prioritize objectives, and exercise independent judgment based on an understanding of organizational policies and activities.

Ability to establish and maintain effective working relationships with students, faculty, staff, and the public. Ability to communicate effectively orally, by phone, in person, and in writing. Ability to represent the department and University in a friendly, courteous, and professional manner. Proficiency in using a personal computer and other office equipment, including related university software and email.
