Job Summary

We are seeking a highly skilled Records Supervisor to join our team at SourcePro Search, LLC. As a key member of our operations team, you will play a critical role in overseeing the daily activities of our records team.

Key Responsibilities
  • Develop and Implement Records Management Systems: Collaborate with the Director of Operations to design, implement, and maintain efficient systems for the creation, utilization, maintenance, and disposition of client and administrative records firm-wide.
  • Staff Management and Development: Assist in the development, implementation, and updating of departmental policies and procedures. Provide performance counseling, conduct performance evaluations, and work with the Director on salary and disciplinary recommendations for staff.
  • Workflow and Workload Management: Manage workflow and workload distribution across the team, providing hands-on support as needed.
  • Leadership and Coaching: Lead the records team by coaching, mentoring, and resolving issues to support operations, articulate goals, recognize individual achievement, and facilitate continuing education and development of the team.
  • Records Retention and Transfer: Manage the records retention program and records transfer/release procedures.
  • New Employee Orientation: Conduct new employee orientation, introducing paralegals and secretaries to the firm's records management procedures.
  • Training and Documentation: Assist in the development and maintenance of training and procedural documentation.
  • Best Practices and Compliance: Stay abreast of best practices in the records management environment and ensure compliance with firm policies and procedures.
  • Expense Management and Budgeting: Monitor expenses, review invoices, and assist with budget forecasts.
  • Departmental Information and Communication: Maintain up-to-date relevant department information on the Records page on the firm intranet (HUB) and maintain close working relationships with other firm departments as necessary.
Requirements
  • Experience: Two years' experience in a law firm records environment, as well as two years' supervisory/management experience.
  • Skills: Strong computer and database skills, with experience utilizing legal-specific systems preferred. Advanced verbal and written communication skills, strong analytical, interpersonal, and organizational skills.
  • Personal Qualities: Ability to work productively with all levels of firm personnel, be familiar with and adhere to all firm policies and procedures.
