Key Responsibilities:

  • Gather comprehensive, precise, and current demographic, insurance, and medical history details. Promptly update all necessary systems and files upon receiving new or revised information.
  • Direct all self-pay patients to the billing department for payment arrangements. If an account is in collections, refer the patient to the billing department for resolution.
  • Ensure that the appropriate preparation process is communicated and utilized, any pre-procedure medications are ordered according to protocol, and that the correct details regarding the appointment location and contact information are provided to the patient.
  • Engage in team meetings, contributing to the enhancement of patient care, departmental efficiency, and overall effectiveness.
  • Utilize the recall process to remind patients of the necessity to schedule appointments, adhering to company policies and protocols.
  • Act as the patient’s advocate in all activities to guarantee optimal satisfaction with their experience and care. Always communicate in a respectful, non-discriminatory manner that upholds patient rights and satisfaction.
  • Refer any incidents of patient dissatisfaction to the lead, supervisor, or manager.
  • Execute additional tasks, projects, and assignments as requested by management.

Qualifications:

  • High School Diploma or equivalent.
  • 1 – 2 years of experience in patient scheduling, preferably in gastroenterology.
  • Exceptional verbal and written communication skills, especially in a telephone setting.
  • Ability to manage high-pressure situations and resolve issues effectively. Strong team spirit and commitment to patient satisfaction.
  • Basic to intermediate computer skills, with familiarity in Outlook; EMR experience is preferred.
  • Bilingual in Spanish is preferred.
  • Medical Assistant Certification is a plus.

Work Environment:

  • Position is based in an office environment, requiring the ability to operate standard office equipment and keyboards. Ability to walk short distances is necessary.
  • Frequent movements of the wrists, hands, and fingers are required. Close visual acuity is needed for tasks such as preparing and analyzing data, transcribing, and extensive reading.
