Job Summary

We are seeking an experienced Administrative Assistant to join our team at BYD COACH & BUS LLC. The successful candidate will provide administrative support to our project management department, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Provide exceptional customer service, responding to customer requests, comments, or complaints in a timely and professional manner.
  • Manage and maintain accurate and up-to-date filing systems, both physical and digital.
  • Coordinate and schedule appointments, meetings, and events, ensuring seamless communication with stakeholders.
  • Prepare and distribute correspondence, reports, and other documents, utilizing Microsoft Office and other software tools.
  • Assist in the preparation of regularly scheduled reports, ensuring timely submission and accuracy.
  • Develop and maintain contact lists, ensuring up-to-date information and effective communication.
  • Process and reconcile expense reports, ensuring accuracy and compliance with company policies.
  • Provide general support to visitors and customers, ensuring a positive and professional experience.
  • Act as the point of contact for internal and external clients, providing exceptional customer service and support.
  • Prepare and process documentation required for federal loans, ensuring accuracy and compliance.
  • Record and enter DMV and D.O.T required documents, ensuring accuracy and compliance.
  • Ensure all equipment required for delivery is logged and entered in department files, ensuring accuracy and compliance.
  • Responsible for bus title and registration requirements, ensuring accuracy and compliance.
Requirements
  • High school diploma or equivalent required; one to three years of related experience preferred.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Proficient in Microsoft Office, including Excel, PowerPoint, and Word.
  • Ability to read, write, and comprehend simple instructions, short correspondence, and memos.
  • Ability to effectively present information in one-on-one and small group situations.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
