Position Summary

Join Affiliated Oncologists as a Healthcare Services Coordinator. Our organization specializes in the treatment of various cancers, including lymphoma, lung, breast, prostate, gynecologic, colorectal, and head and neck cancers.

ROLE OVERVIEW:
As a Healthcare Services Coordinator, you will warmly greet and assist patients and their families. You will efficiently manage patient registration and appointment scheduling. Additionally, you will handle incoming calls, directing them to the appropriate personnel while ensuring clear communication between patients and clinical staff.

Compliance with the US Oncology Compliance Program, including the Code of Ethics and Business Standards, is essential.


Key Responsibilities:

  • Welcome patients and visitors to the clinic in a professional and courteous manner. Ensure timely check-in and notify clinical staff of patient arrivals.
  • Provide and clarify necessary paperwork for patients to complete prior to their examination.
  • Collect, verify, and organize patient forms for accuracy and completeness.
  • Update patient demographics and insurance details in the system.
  • Collect copayments and outstanding balances, providing receipts as necessary.
  • Respond to routine inquiries, directing them to the appropriate personnel or taking detailed messages.
  • Page clinic staff as needed and communicate messages promptly and accurately.
  • Facilitate patient check-out after examinations and schedule follow-up appointments in accordance with office protocols.
  • Inform patients about appointment specifics, including time, location, directions, and any relevant instructions.
  • Document patient cancellations and missed appointments, rescheduling as needed.
  • Notify relevant staff of cancellations and update patient records accordingly.
  • Provide general administrative support, including filing patient charts and forms.
  • Maintain a clean and organized lobby area for patients and visitors.
  • Ensure a sufficient supply of forms and office materials for daily operations.
  • Uphold confidentiality and adhere to state, federal, and HIPAA regulations regarding patient records.
  • Perform additional duties as assigned, which may include typing memos and forms.

Qualifications:

  • High school diploma or equivalent is required.
  • Previous experience in a receptionist or office role is preferred.
  • Proficiency in computer systems and Microsoft Office Suite (Outlook, Word, Excel) is necessary.
  • Completion of required e-learning courses within 90 days of starting the position is mandatory.
  • Demonstrates adaptability in handling daily work challenges and adjusting to shifting priorities.
  • Exhibits a strong commitment to quality and performance standards.

Physical Requirements:

The physical demands of this position require the ability to perform essential functions effectively. Reasonable accommodations may be made for individuals with disabilities.

While fulfilling job responsibilities, employees must be present at the work site during scheduled hours and may be required to sit or stand for extended periods. This role necessitates a full range of motion, including lifting and handling patients, as well as manual dexterity and coordination. Employees may occasionally lift items weighing up to 40 lbs and must have corrected vision and hearing within normal ranges.


Work Environment:

The work environment may involve exposure to communicable diseases, toxic substances, and other conditions typical of an oncology/hematology clinic. In-person interaction with colleagues and management is required, and minimal travel to office sites may be necessary. Candidates will be assigned to a title that aligns with their qualifications and experience.
