Position Summary

This position is responsible for executing administrative functions such as document management, data collection, and facilitating internal workflows within a designated department. The role demands a keen eye for detail and exceptional organizational capabilities.

Key Responsibilities

  • Oversee specialized administrative operations concerning personnel, contracts, budgeting, inventory, and payment processing.
  • Gather and organize data, and generate fundamental reports.
  • Conduct basic bookkeeping activities, including invoice reconciliation and payment processing.
  • Support routine budgeting tasks and handle budget requests.
  • Draft and disseminate intricate correspondence, while managing records efficiently.
  • Ensure effective information flow within the team and guarantee task completion.
  • Employ computer software for various administrative duties.
  • Guide administrative personnel by assigning tasks and reviewing their work.

Additional Duties

  • Assist other administrative roles as required.
  • Carry out any other assigned responsibilities.

Work Environment

The position is performed in a conventional office environment utilizing standard office equipment.

Essential Skills and Qualifications

  • Proficient understanding of the English language, including spelling and grammar.
  • Knowledge of basic business mathematics and bookkeeping principles.
  • Familiarity with office protocols and procedures.
  • Outstanding customer service abilities.
  • Capability to plan, supervise, and communicate effectively.
  • Competence in using computer applications for various tasks.

Educational Requirements

A degree from an accredited college with an associate's degree and three years of administrative experience involving computer usage.

Substitution Clause

Additional experience in computer-related administrative roles may substitute for educational qualifications. Full-time college coursework may replace up to two years of experience.

Promotional Criteria

  • A minimum of one year of experience in designated roles within the organization.
  • Civil service status in one of the specified classifications.
