Bilingual Administrative Coordinator

At Cal-Am Properties, Inc., we are seeking a highly skilled and bilingual Administrative Assistant to join our team. As a key member of our administrative staff, you will provide essential support to our managers, employees, and residents, ensuring the smooth operation of our community office.
Key Responsibilities:
- Composing and producing business correspondence, reports, and related materials.
- Editing documents produced by others and reviewing materials for accuracy.
- Ensuring confidentiality and controlling access to sensitive information.
- Responding to inquiries and requests for information regarding departmental and company policies.
- Serving as an internal resource for administrators and staff on departmental and company procedures.
- Researching information and relaying official interpretations.
- Performing administrative duties associated with scheduling and coordinating meetings.
- Arranging with vendors for services and preparing agendas.
- Recording and summarizing minutes for typing and distribution.
- Researching and gathering data for departmental reports.
- Recommending report content and format to display findings effectively.
- Assisting in budget preparation by gathering historical data.
- Tracking and monitoring assigned budget expenditures.
- Coordinating preparation, development, and production of major documents.
- Implementing changes or enhancements to procedures to improve productivity and efficiency.
- Scheduling, assigning, and prioritizing workloads.
- Monitoring employee performance and ensuring timely completion of unit's work.
Requirements:
- Bilingual in Spanish (Required): Must be fluent in both written and spoken Spanish to effectively communicate with clients and team members.
- Minimum Education: High School
- Minimum Experience: 1-2 Years
- Minimum Field of Expertise: Secretarial or specialized clerical, including some administrative experience.
- Preferred Education: Bachelor's Degree
- Preferred Experience: 3 Years
- Preferred Field of Expertise: Combined secretarial and administrative experience in a business environment
