Administrative Coordinator

Job Summary:
The Administrative Specialist is responsible for performing multifaceted general administrative supports for Outpatient Clinic(s). This role assists with daily administrative operations, including opening and closing the clinic, scheduling clients, making reminder calls, and verifying client eligibility for services. The successful candidate will also be responsible for maintaining an orderly and neat waiting area, monitoring clients with emotional and behavioral challenges, and addressing any concerns that may arise.
Duties and Responsibilities:
- Assists with daily administrative operations, including opening and closing the clinic, scheduling clients, making reminder calls, and verifying client eligibility for services.
- Maintains an orderly and neat waiting area, monitors clients with emotional and behavioral challenges, and addresses any concerns that may arise.
- Processes and enters client intake documentation, ensures data entry in client electronic health records (EHR) is accurate, and maintains client records.
- Performs administration functions, including filing, photocopying, scanning, typing, faxing, data entry, and recordkeeping.
- Provides administrative support to clinical staff, creates a positive team environment, and participates in assigned staff meetings and committees.

- Communicates clearly and effectively orally and in writing in English.
- Interprets information, utilizes critical thinking, and explains concepts to others.
- Maintains effective working relationships with agency employees at all levels and the general public.
Required Position Qualifications:
- A high school diploma or equivalent is required.
- 1 year consecutive office experience.
- Intermediate level computer capabilities in use of databases, web-based environments, word processing, email, and spreadsheets.
Preferred Position Qualifications:
- Fluent in the Spanish language, including the ability to read, write, and speak.
- Knowledge of non-profit and electronic health records.
Other Requirements:
- Pass a DHS criminal history background check.
- Meets agency driving requirements.
- CPR and Standard First Aid Certification within 30 days of hire and keep current.
