Job Summary:

The Administrative Specialist is a multifaceted role that provides general administrative support to the Outpatient Clinic(s).

Key Responsibilities:

• Assist with daily administrative operations, including opening and closing the clinic, scheduling clients, making reminder calls, and verifying client eligibility and authorization for services.

• Provide exceptional customer service by greeting clients, families, and visitors, directing them to the waiting area or meeting room, and informing staff of their arrivals or cancellations.

• Maintain a clean and organized waiting area/lobby, monitor clients and families with emotional and behavioral challenges, and address, redirect, or problem-solve with upset or challenging clients and families.

• Engage difficult clients in activities, communicate concerning behaviors with assigned therapists, and assist with medical transport.

• Process and enter client intake documentation, ensure accurate data entry in electronic health records (EHR), and maintain client records, both paper and electronic.

• Perform various administrative tasks, including filing, photocopying, scanning, typing, faxing, data entry, recordkeeping, and mail distribution.

• Provide administrative support to clinical staff, cover for other support staff as needed, and create a positive team environment.

Requirements:

• High school diploma or equivalent required.

• 1 year of consecutive office experience.

• Intermediate level computer capabilities, including databases, web-based environments, word processing, email, and spreadsheets.

Preferred Qualifications:

• Fluency in Spanish, including reading, writing, and speaking.

• Knowledge of non-profit organizations and electronic health records.

Working Conditions:

• Works up to 40 hours a week, as specified on employment offer letter, during regular clinic hours (Monday through Friday 8am - 8pm).

• May be required to work irregular hours outside of normal clinic business hours, including weekends.

• Travel to different agency locations and community meetings/presentations may be required.
