Job DescriptionThe Facilities Operations Manager is responsible for overseeing the daily operations of our office facilities. This role involves managing building maintenance, coordinating with vendors, and ensuring a safe, clean, and productive working environment. The ideal candidate will have a proactive approach to problem-solving, strong organizational skills, and a knack for optimizing space and resources.
Key Responsibilities:- Facilities Management: Oversee the maintenance, cleanliness, and safety of the office space. Ensure that all facilities are in excellent working condition and meet health and safety standards.
- Vendor Coordination: Manage relationships with external vendors and service providers (e.g., cleaning services, HVAC maintenance, security) to ensure quality service delivery and cost efficiency.
- Space Planning: Optimize office layout and space utilization. Coordinate office moves, expansions, and reconfigurations as needed.
- Maintenance Oversight: Conduct regular inspections and address any repair or maintenance of non-production equipment issues promptly. Keep accurate records of maintenance activities and repairs.
- Health & Safety Compliance: Ensure the office complies with all relevant health, safety, and environmental regulations. Implement and monitor safety procedures and protocols in conjunction with the Environmental Health and Safety Manager.
- Inventory Management: Maintain an inventory of office supplies and equipment in coordination with the Office Assistant. Procure items as needed and manage supplier relationships.
- Budget Management: Assist in developing and managing the facilities budget. Monitor expenses and identify cost-saving opportunities.
- Employee Support: Serve as the point of contact for facilities-related issues. Provide support to employees regarding workspace needs and concerns.
- Emergency Response: Develop and implement emergency procedures. Act as the primary contact during emergencies and ensure all safety protocols are followed.
- Cross-Functional Collaboration: Partner with IT, Maintenance (production equipment), EHS (Environmental, Health, and Safety), and Operations team members to execute on all responsibilities.
- 5S Collaboration: Partner with EHS team members to implement, execute, and maintain a proper 5S workspace in all applicable areas, including production floors and chemical refuse/storage.
- Bachelor's degree in Facilities Management, Business Administration, or a related field (or equivalent work experience).
- 3+ years of experience in facilities management or a similar role, preferably in a tech or startup environment.
- Strong knowledge of building systems, maintenance practices, and safety regulations.
- Excellent organizational and project management skills.
- Proven ability to manage multiple tasks and priorities effectively.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced, dynamic environment.
- Experience with ISO 13845, ISO 9001, and/or medical device regulation.
- Experience in project management methodologies.
- Experience working in a startup environment.
- Experience with additive manufacturing.
- Experience with QuickSight, Jira, and/or GitHub.
- Requires the ability to use hands, and reach with hands and arms.
- Requires the ability to see, listen, and speak.
- Requires work activities with production chemicals, adhesives, and epoxies, using required personal protective equipment.
