The Administrative Support Specialist at The Villarreal Organization, Inc. will play a crucial role in overseeing office functions, managing documentation, and handling title and DMV-related processes. Key Responsibilities
  • Document Management: Assist clients in preparing and finalizing essential documents, including title applications and vehicle registrations necessary for DMV services.
  • Title Management: Oversee the processing of vehicle title transfers and registrations, ensuring compliance with state regulations and DMV standards.
  • Client Interaction: Engage with clients in both English and Spanish to collect required information, provide updates, and resolve inquiries related to title and DMV services.
  • Office Administration: Manage daily office responsibilities, including responding to inquiries, organizing correspondence, and maintaining office supplies.
  • Record Keeping: Ensure accurate documentation and record maintenance of all transactions, safeguarding the confidentiality of sensitive information.
  • Appointment Coordination: Schedule and manage appointments for title processing and DMV services, ensuring timely follow-ups and calendar management.
  • Regulatory Compliance: Stay informed about updates in DMV regulations and ensure all processes and documentation meet legal requirements.
Qualifications
  • Education: High school diploma or equivalent; additional qualifications in office administration or related fields are advantageous.
  • Experience: Previous administrative experience, particularly in title processing or DMV services, is preferred.
  • Skills: Excellent organizational abilities, keen attention to detail, and strong multitasking capabilities. Proficiency in Microsoft Office Suite and familiarity with title management systems are beneficial.
  • Bilingual Skills: Fluent in English and Spanish, with strong verbal and written communication skills in both languages.
