Position: GBHS Critical Care Clinic (CCC) Operations Manager

ROLE SUMMARY

The Greater Birmingham Humane Society (GBHS) is a forward-thinking animal welfare organization dedicated to the rescue, rehabilitation, and rehoming of homeless, abused, neglected, and abandoned animals. Our commitment to an open admissions policy and low euthanasia rates reflects our progressive mission, allowing us to save and find homes for thousands of animals annually.

The Operations Manager is tasked with overseeing the administrative and operational functions of the GBHS Critical Care Clinic. This role is pivotal in ensuring seamless clinic operations by supervising and training staff, managing scheduling, billing, inventory, and procurement processes. Additionally, the Operations Manager collaborates with educational institutions for externship programs and fosters professional relationships with shelter partners.

KEY RELATIONSHIPS

The Operations Manager:

  • Reports directly to the Chief Program Officer (CPO) and is an integral member of the leadership team.
  • Engages daily with veterinarians, operational and administrative personnel, veterinary student externs, volunteers, and the public.

RESPONSIBILITIES:

  • Develops and implements office policies and procedures.
  • Oversees the recruitment, training, scheduling, and performance evaluation of staff, including managing disciplinary actions.
  • Coordinates externship expectations and requirements for students.
  • Ensures adherence to current regulations, medical laws, and ethical standards in animal welfare.
  • Maintains accurate reporting logs for students, surgeries, and schedules, ensuring timely data management.
  • Monitors inventory of medical and surgical supplies, placing orders as necessary.
  • Schedules all GBHS animals for surgical or medical interventions.
  • Facilitates communication and scheduling across all GBHS departments and with rescue partners.
  • Conducts oneself professionally in interactions with various departments and external agencies.
  • Manages the clinic's animal inventory on a daily basis.
  • Communicates with the Chief Veterinarian regarding policies, procedures, and scheduling of surgeries and appointments.
  • Provides weekly updates and a monthly report on clinic progress.
  • Collaborates with all departments to address the specific needs of individual animals.
  • Maintains an updated MSDS logbook.
  • Participates in special projects and initiatives aligned with the shelter's goals.
  • Prepares and dispatches invoices for services and products received at the clinic.
  • Performs additional duties as assigned.

QUALIFICATIONS:

  • A strong passion for the mission of GBHS and a sense of humor are essential.
  • At least 3 years of successful management experience.
  • A minimum of 3 years of experience working with animals in a shelter environment.
  • High school diploma or GED required; an Associate's or Bachelor's Degree is preferred.
  • Exceptional verbal and written communication skills.
  • Strong public speaking and instructional abilities, effective in both group settings and one-on-one interactions.
  • Proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and other relevant software.
  • Demonstrated ability to lead and delegate tasks effectively.
  • Outstanding customer service skills, characterized by positivity, friendliness, and sound judgment.
  • Enthusiastic, energetic, and proactive with the ability to inspire others.
  • Ability to remain calm and professional in high-stress situations.
  • Excellent time management and organizational skills, capable of multitasking efficiently.
  • Flexibility in work duties and openness to evolving organizational priorities.
  • Team-oriented, with the ability to collaborate across departments in a diverse environment.
  • Empathetic and supportive towards adopters, volunteers, foster parents, and colleagues.
  • Comfortable handling animals and possessing basic knowledge of animal medical care and behavior.
  • Ability to convey the mission of GBHS to potential adopters, volunteers, and visitors.
  • Valid driver's license and reliable transportation are required.
  • Opportunity to become a Certified Euthanasia Technician may be available.

PHYSICAL REQUIREMENTS:

Ability to perform physical tasks, including standing for extended periods, lifting animal crates, bending, scrubbing, mopping, walking quickly, reaching, climbing stairs, squatting, and lifting weights between 50 to 75 lbs. with reasonable accommodation.

WORK ENVIRONMENT:

This position operates in a high-noise environment with exposure to industrial cleaning chemicals, dust, animal waste, zoonotic diseases, and potential bites and scratches. Weekend and evening shifts may be necessary. Employees must manage any allergic conditions that could be exacerbated by the presence of animals. Adherence to safety protocols is mandatory. The role may involve working in an environment that provides humane euthanasia for animals.
