Position: GBHS Critical Care Clinic Operations Manager
POSITION SUMMARY
The Greater Birmingham Humane Society (GBHS) is a forward-thinking animal welfare organization dedicated to the rescue, rehabilitation, and rehoming of homeless, abused, neglected, and abandoned animals. Our commitment to an open admissions policy and low euthanasia rates is central to our mission, allowing us to save and find homes for thousands of animals annually.
The Operations Manager is accountable for overseeing the administrative and operational aspects of the GBHS Critical Care Clinic. This role is essential in ensuring efficient clinic operations through employee supervision and training, as well as managing scheduling, billing, inventory, and procurement processes. The Operations Manager also collaborates with educational institutions regarding externship placements and fosters professional relationships with shelter partners.
KEY RELATIONSHIPS
The Operations Manager:
- Reports directly to the Chief Program Officer (CPO) and is an integral member of the leadership team.
- Engages daily with veterinarians, operational and administrative staff, veterinary externs, volunteers, and the public.
RESPONSIBILITIES:
- Develops and implements office policies and procedures.
- Oversees the recruitment, training, scheduling, and performance evaluation of staff, including managing disciplinary actions.
- Coordinates externship programs and sets clear expectations for participating students.
- Ensures adherence to relevant regulations, medical laws, and ethical standards in animal welfare.
- Maintains accurate reporting logs for students, surgeries, and schedules, ensuring timely data management.
- Monitors inventory levels of medical and surgical supplies, placing orders as necessary.
- Schedules surgical and medical appointments for all GBHS animals.
- Facilitates communication and coordination among all GBHS departments and rescue partners.
- Maintains professionalism in interactions with various departments and external agencies.
- Manages daily animal inventory within the clinic.
- Collaborates with the Chief Veterinarian regarding policies, procedures, and scheduling.
- Provides regular updates and comprehensive monthly reports on clinic operations.
- Communicates specific needs of animals to all relevant departments.
- Maintains an updated MSDS logbook.
- Participates in special projects and initiatives aligned with the shelter's goals.
- Prepares and issues invoices for services and products received at the clinic.
- Performs additional duties as assigned.
QUALIFICATIONS:
- A strong passion for the mission of GBHS and a good sense of humor.
- At least 3 years of proven management experience.
- A minimum of 3 years working with animals in a shelter environment.
- High school diploma or GED required; Associate's or Bachelor's Degree preferred.
- Exceptional verbal and written communication skills.
- Strong public speaking and instructional abilities, applicable in both group settings and individual interactions.
- Proficiency in Microsoft Office Suite and other relevant software.
- Demonstrated ability to lead and delegate effectively for timely task completion.
- Outstanding customer service skills, characterized by positivity, friendliness, and sound judgment.
- Enthusiastic, energetic, and proactive, with the ability to inspire others.
- Capacity to remain calm and professional in high-stress situations.
- Excellent organizational and time management skills, with the ability to multitask efficiently.
- Flexibility in work duties and adaptability to changing organizational priorities.

- Comfortable handling animals and possessing basic knowledge of animal care and behavior.
- Ability to effectively communicate the mission of GBHS to various stakeholders.
- Valid driver's license and reliable transportation.
- Opportunity to become a Certified Euthanasia Technician may be available.
PHYSICAL DEMANDS:
Ability to perform physical tasks, including standing for extended periods, lifting animal crates, bending, scrubbing, mopping, and lifting weights up to 75 lbs. with reasonable accommodation.
WORK ENVIRONMENT:
This position operates in a high-noise environment with exposure to cleaning chemicals, dust, animal waste, and potential zoonotic diseases. Weekend and evening shifts may be required. Employees should manage any allergies that could be exacerbated by the presence of animals. Adherence to safety protocols is essential, and the ability to work in an environment that may involve humane euthanasia is required.
