GBHS Critical Care Clinic (CCC) Operations Manager
POSITION SUMMARY
The Greater Birmingham Humane Society ("GBHS") is a forward-thinking animal welfare organization dedicated to the rescue, rehabilitation, and rehoming of homeless, abused, neglected, and abandoned animals. Our commitment to an open admissions policy, animal rehabilitation, and maintaining a low euthanasia rate underscores our progressive mission, allowing us to save and rehome thousands of animals annually.
The Operations Manager is tasked with overseeing the administrative and operational aspects of the GBHS Critical Care Clinic. This role is essential for ensuring seamless operations through effective supervision and training of staff, as well as managing scheduling, billing, inventory, and procurement processes. The Operations Manager also collaborates with educational institutions regarding externship programs and fosters professional relationships with shelter partners.
PRIMARY RELATIONSHIPS
The Operations Manager:
- Reports directly to the Chief Program Officer (CPO) and is an integral member of the leadership team.
- Engages daily with veterinarians, operational and administrative personnel, veterinary student externs, volunteers, and the public.
KEY RESPONSIBILITIES:
- Develops and implements office policies and procedures effectively.
- Oversees the recruitment, training, scheduling, and performance evaluation of staff, including managing disciplinary actions.
- Coordinates with students and sets expectations for the externship program.
- Ensures adherence to current regulations, medical laws, and ethical standards in animal welfare.
- Maintains accurate reporting logs for students, surgeries, and schedules, ensuring timely data implementation.
- Manages detailed inventory of medical and surgical supplies, ordering as necessary.
- Schedules all GBHS animals for surgical or medical care.
- Facilitates communication and scheduling across all GBHS departments and with rescue partners as required.
- Exhibits professionalism in interactions with various departments and external agencies.
- Oversees daily animal inventory management within the clinic.
- Collaborates with the Chief Veterinarian on policies, procedures, and scheduling for surgeries and appointments.
- Provides weekly updates and a monthly report on clinic progress.
- Communicates specific needs of individual animals to all departments.
- Maintains and updates the MSDS logbook as necessary.
- Participates in special projects and initiatives aligned with the shelter's goals.
- Prepares and dispatches invoices for all services and products received at the clinic.
- Performs additional duties as assigned.
QUALIFICATIONS:
- A genuine passion for the mission of GBHS and a sense of humor are essential.
- At least 3 years of successful management experience.
- A minimum of 3 years of experience working with animals in a shelter environment.
- High school diploma or GED required; an Associate's or Bachelor's Degree is preferred.
- Exceptional verbal and written communication skills.
- Strong public speaking and teaching abilities, both in group settings and one-on-one.
- Proficient in Microsoft Word, Outlook, Excel, PowerPoint, and other relevant software.
- Demonstrated ability to lead and delegate tasks effectively for timely completion.
- Outstanding customer service skills, characterized by positivity, friendliness, tact, and sound judgment.
- Enthusiastic, energetic, and proactive with the ability to motivate others.
- Ability to remain calm and professional in high-stress situations.
- Excellent time management and organizational skills, with the capacity to multitask efficiently.
- Flexibility in work duties and adaptability to changing organizational priorities.
- Ability to collaborate effectively with diverse teams within the organization.
- Empathetic and supportive towards adopters, volunteers, foster parents, and colleagues.
- Comfortable handling animals and possessing basic knowledge of animal medical care and behavior.
- Ability to clearly articulate the mission of GBHS to potential adopters, volunteers, and visitors.
- Valid driver's license and reliable transportation are required.
- Opportunity to become a Certified Euthanasia Technician may be available.
PHYSICAL DEMANDS:
Must be able to perform physical tasks including standing for extended periods, carrying animal crates, bending, scrubbing, mopping, walking quickly, reaching, climbing stairs, squatting, and lifting weights up to 75 lbs. with reasonable accommodation.
WORK ENVIRONMENT:
This position operates in a high-noise environment with potential exposure to industrial cleaning chemicals, dust, animal waste, zoonotic diseases, bites, and scratches. Weekend and evening shifts may be necessary. Employees should manage any allergic conditions that could be exacerbated by the presence of animals. Adherence to safety protocols is mandatory. Must be prepared to work in an environment that includes humane euthanasia of animals.
