POSITION SUMMARY:
The Front Office Coordinator plays a crucial role in the healthcare setting, managing essential administrative tasks that include answering phone calls, welcoming patients and visitors, and efficiently scheduling appointments.
This position involves guiding patients through the intake and checkout procedures, which encompasses patient registration, check-in and check-out processes, as well as collecting co-payments, deductibles, and any outstanding account balances. The Coordinator is also responsible for maintaining accurate filing and medical records.
It is imperative that all protocols are adhered to, from retrieving the correct patient files to documenting insurance details, allowing the medical team to focus on patient care.
The Front Office Coordinator must work collaboratively with back-office staff and provide assistance in that area when necessary.
EDUCATIONAL REQUIREMENTS:
A minimum of a High School Diploma or General Education Development (GED) is required. Graduates from vocational or technical schools are preferred. Proficiency in this role is typically achieved through on-the-job training and orientation. Certification in Front Office Administration is preferred but not mandatory.
QUALIFICATIONS AND SKILLS:
The ideal candidate should possess 1-3 years of experience in a medical office environment, ideally within the urology specialty. Strong customer service skills are essential, along with excellent verbal and written communication abilities. Proficient interpersonal skills are required, as well as robust computer skills to manage clerical duties, including familiarity with office and EMR systems.
A basic understanding of health insurance products (HMO, PPO, HSA, Commercial, Medicare, etc.) is necessary, along with a foundational knowledge of CPT procedure coding and ICD-10 diagnostic coding being advantageous.
