Job Summary

We are seeking a highly organized and customer-focused Receptionist to join our team. As a key member of our front office, you will be responsible for providing exceptional customer service, managing incoming calls and messages, and maintaining a professional and welcoming environment.

Key Responsibilities

  • Customer Service
    • Operate a multi-line phone system to receive and direct incoming calls in a timely and professional manner.
    • Respond to client inquiries and direct them to the appropriate staff member or department.
    • Transfer calls to staff or voicemail when necessary.
  • Front Desk Operations
    • Manage and distribute incoming mail and messages.
    • Collect and process outgoing mail and packages.
    • Maintain a neat and organized front office area.
  • Administrative Support
    • Assist with data entry and other administrative tasks as needed.
    • Prepare and distribute documents, reports, and other materials.
    • Perform various clerical duties to support the team.

Additional Responsibilities

  • Mail and Package Management
    • Open and sort incoming mail and packages.
    • Separate and distribute mail and packages to the appropriate departments.
    • Assist with Federal Express package pickup requests.
  • Record Keeping
    • Keep a daily log of employee absences and tardiness.
    • Maintain accurate records of mail and package delivery.
  • Printing and Scanning
    • Prepare and distribute printed materials, such as policy books and ID cards.
    • Scan and digitize documents as needed.

Requirements

  • Education and Experience
    • High school diploma or equivalent required.
    • Minimum one year of related experience preferred.
  • Skills and Abilities
    • Excellent communication and customer service skills.
    • Ability to work in a fast-paced environment and prioritize tasks effectively.
    • Basic computer skills and knowledge of office software.
